About the Position

ICPS is seeking a Paralegal to support the preparation, organisation, and management of legal materials across the organisation’s legal advisory function. Reporting to the Legal Affairs Manager, this role is responsible for ensuring that legal documents, research inputs, and case materials are structured, complete, and ready for review by Legal Affairs Consultants and senior legal staff.

The role is focused on execution support within the legal workflow. You will assist in assembling legal documents, organising research outputs, maintaining document consistency, and ensuring that all materials are properly formatted and aligned with internal standards before further legal analysis or validation. You will work closely with Legal Affairs Consultants, supporting their work by preparing structured inputs and ensuring that documentation is complete and usable. The role requires attention to detail, consistency in formatting and organisation, and the ability to follow defined legal workflows without deviation.


Key Responsibilities

Legal Document Preparation and Formatting

  • Prepare and format contracts, agreements, and legal documents based on provided inputs, ensuring structural consistency, correct formatting, and alignment with ICPS’s standard templates.


Legal Material Organisation and Case File Structuring

  • Organise legal research materials, supporting documents, and correspondence into structured case files, ensuring that all relevant information is accessible, complete, and logically arranged for Consultant use.


Input Compilation for Legal Review Processes

  • Compile and consolidate raw inputs, including research notes, document versions, and stakeholder information, into coherent packages ready for Consultant-level drafting and analysis.


Skills & Competencies Required

Document Structuring and Formatting Precision

  • Strong ability to organise and format legal documents accurately, maintaining consistency across multiple files and document types.


Information Organisation and File Management

  • Ability to structure large volumes of legal information into clear, accessible formats that support efficient legal review and drafting processes.


Process Adherence and Execution Discipline

  • Ability to follow defined legal workflows precisely, ensuring that all outputs meet required standards before being passed to the next stage.


Qualifications

  • A bachelor’s degree in Law or a related field is required. Ongoing legal studies are highly desirable.
  • Advanced proficiency in both written and spoken English is essential; proficiency in French is not mandatory but highly desirable.
  • 1–2 years of experience in legal support, document preparation, administrative legal work, or similar structured environments is acceptable.
  • Exposure to working with legal documents, contracts, or structured written materials is preferred.Strong familiarity with document formatting, version control, and organised file management practices.Comfortable working within clearly defined workflows and supporting multi-step processes.
  • A motivational and professional approach, fostering trust and credibility with candidates and within the recruitment team.
  • Comfortable with part-time commitment, contributing 8–10 hours (20%) per week, with availability for remote work, selecting your own working hours.
  • A motivational and empathetic leadership style, with a commitment to fostering inclusivity, integrity, and excellence. Strong interpersonal skills to inspire trust and credibility within the organization.
