Part-Time Team Operations Manager
Location: Remote although based in Lamorinda / Walnut Creek / Concord, CA
Hours: 10–20 hours per week
Schedule: Flexible within standard Pacific Time business hours
We are seeking a highly organized, resourceful, and proactive Part-Time Team Operations Manager to support our team and assist with a variety of operational, administrative, recruiting, and employee experience initiatives.
This role is ideal for someone who enjoys wearing multiple hats, thrives on organization, and takes pride in ensuring details are thoughtfully managed. The position offers flexibility while providing critical support to a remote-first team through coordination of events, travel, recruiting activities, and day-to-day operational projects.
While most work can be completed remotely, occasional in-person support will be required for local interviews, leadership gatherings, co-working days, and company events in the Lamorinda, Walnut Creek, and Concord areas.
What you will do:
Executive & Administrative Support
- Coordinate meetings, scheduling, and logistics across multiple stakeholders.
- Prepare documents, presentations, and meeting materials as needed.
- Support special projects and ad hoc requests from leadership.
- Create and manage executive travel itineraries, including flights, hotels, ground transportation, meeting schedules, and dining reservations.
- Coordinate onsite candidate interviews in the Lamorinda, Walnut Creek, and Concord areas.
Event Planning & Team Operations
- Assist with planning and execution of quarterly company offsites.
- Research and coordinate venues, accommodations, transportation, catering, and activities.
- Manage event logistics, vendor communications, and attendee coordination.
- Coordinate local co-working days, leadership gatherings, and regional team events.
- Support team-building activities and employee engagement initiatives.
- Track event budgets and expenses.
Travel & Conference Coordination
- Research and coordinate travel options for executives and team members.
- Support conference attendance planning, including hotels, flights, and meeting schedules.
Operations Support
- Assist with expense tracking, receipt collection, and reconciliation.
- Coordinate with vendors and assist with invoice management.
- Conduct research and gather information for operational projects.
- Assist with vendor sourcing, comparisons, and ongoing relationship management.
- Help maintain organizational documents, templates, and resource materials.
- Support onboarding logistics and special employee initiatives.
- Assist with company communications and operational coordination as needed.
- Provide general office management and team support for a distributed workforce.
Employee Experience & Culture Support
- Oversee swag store vendor relationships and ordering processes.
- Manage swag store gift card distribution for recognition programs, events, and company initiatives.
- Assist with employee appreciation activities and culture-building programs.
About you:
- You have 5+ years of experience in administrative support, executive assistance, office management, event coordination, operations, or a related role.
- You have exceptional organizational and project management skills.
- You have strong attention to detail and ability to manage multiple priorities simultaneously.
- You have excellent written and verbal communication skills.
- You have the ability to work independently and proactively identify solutions.
- You have a strong customer service mindset and professional demeanor.
- You are proficient with Google Workspace (Gmail, Calendar, Docs, Sheets, and Slides).
- You have experience coordinating travel, events, or executive support preferred.
- You have the ability to handle confidential information with discretion.

Additional Information:
The hourly rate range for this role is $30.00 to $42.00. Our ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for the new hire rate for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
