Location: United States | Remote Summary The Patient Access Concierge is an entry level role responsible for supporting patient registration, insurance verification, appointment scheduling, and prior authorization activities under regular guidance and supervision. This position is the starting point of the Patient Access career path and is designed for someone new to healthcare administration who brings strong customer service skills and a willingness to learn. The Patient Access Concierge receives structured training and ongoing coaching to build foundational knowledge of patient registration, insurance verification, scheduling, and prior authorization processes. This role works under the direction of a supervisor and more experienced teammates while completing routine, well defined tasks, and is expected to develop the skills needed to work with greater independence over time. No prior EMR experience is required, as training is provided. Responsibilities Patient Registration Accurately collect and enter patient demographic, insurance, and clinical information with guidance from training materials and team resources. Verify patient identity and help maintain complete, accurate patient records. Confirm that required documentation is complete before scheduled services, asking questions when something looks unclear. Insurance Verification and Prior Authorizations Verify basic insurance eligibility, benefits, and referral requirements for routine, well defined cases. Support the team by obtaining and documenting straightforward prior authorizations and referrals. Recognize when an insurance or authorization issue is outside your current scope and escalate it to a senior teammate or supervisor. Scheduling and Customer Service Schedule, reschedule, and cancel routine patient appointments following established guidelines. Respond to patient, provider, and client inquiries by phone, email, or other channels with a warm, professional tone. Provide friendly, attentive customer service on every interaction. Resolve simple, routine issues independently and escalate more complex concerns to a supervisor or senior team member. Documentation and Compliance Maintain accurate documentation within assigned systems, following established templates and checklists. Protect confidential patient information in accordance with HIPAA requirements. Follow client, payer, and organizational policies and procedures as outlined in training. Learning and Operational Excellence Actively participate in training, shadowing, and coaching sessions to build foundational patient access skills. Meet established productivity, quality, attendance, and service expectations, along with all other relevant team metrics. Ask questions and seek feedback to continuously improve accuracy and efficiency. Participate in team meetings and process discussions. Perform other duties as assigned. Qualifications and Experience High School Diploma or GED required. 0 to 2 years of customer service or healthcare experience required. Prior healthcare or Patient Access experience is not required. Experience using electronic medical record (EMR) systems such as Epic or Cerner is a plus but not required; training is provided. Basic computer literacy, including the ability to navigate multiple software applications at once. Clear written and verbal communication skills. Strong attention to detail. Ability to follow established procedures and escalate issues outside of scope. Ability to manage a steady volume of routine tasks. Ability to work independently in a remote environment with regular supervision and support. Physical Demands and Working Conditions Fully remote, U.S. based position. Requires reliable high speed internet and a private, quiet, and focused workspace that protects patient confidentiality. Prolonged sitting while working at a computer and using a telephone or headset. Clear, professional communication with patients, providers, and colleagues in every interaction. High volume of calls and inquiries, including phone-based communication for up to 8 hours per day. Frequent typing and data entry across multiple software applications. Frequent communication with patients, providers, and internal team members, with regular support and coaching from a supervisor. Occasional overtime may be required based on business needs.
