Our client is a premier, fast-growing aesthetics practice operating seven days a week, dedicated to delivering high-quality patient care and results-driven treatments across a comprehensive range of aesthetic services. To maintain high standards of care and ensure seamless patient communication, they are expanding their remote operations to streamline daily administrative and front-desk workflows.
πΌ About the Role
As the Patient Care & Intake Specialist, you will serve as the primary operational and communication support for the clinic during working hours. You will manage appointment schedules via Vagaro, handle high-volume inbound inquiries, assist lost patients with directions, answer pre- and post-procedure questions, and qualify inquiries so the lead practitioner can focus entirely on patient treatments.
π― Key Responsibilities
π Appointment & Rescheduling Management: Schedule, adjust, and manage appointment modifications and package redemptions directly within Vagaro.
π Inbound Call & Lead Handling: Answer high-volume inbound calls in both English and Spanish with a warm, professional, and empathetic tone.
πΊοΈ Patient Navigation & Wayfinding: Guide arriving or lost patients with real-time driving and parking directions using clinic route guides and walk-through videos.
π©Ί Patient Education & Support: Review procedural documentation to answer routine pre- and post-treatment care questions confidently.
π·οΈ Promotional Guidance: Understand active promotional packages, pricing, and treatment details to inform new and returning callers.
π Triage & System Maintenance: Qualify patient inquiries to handle routine items independently (minimizing escalations to leadership) and maintain precise CRM records.
β Qualifications & Skills
β Non-Negotiable Requirements:
Vagaro Expertise: Direct, hands-on experience using Vagaro CRM/scheduling software is required.
Bilingual Fluency: Fully bilingual in written and spoken English and Spanish.
Communication Skills: Exceptional phone etiquette, strong active listening, and an empathetic speaking voice under high call volume.
Spatial & Directional Comprehension: Strong ability to understand maps and guide callers through real-time navigation.
π Preferred Qualifications:
Previous experience in medical aesthetics, dermatology, plastic surgery, or a clinical spa environment.
