What You’ll Be Owning This is a core operational leadership role covering patient intake, route-based scheduling, SOP creation, and process improvement. You aren't just taking messages; you are building the entire back-office infrastructure—mastering phone engagement, Google Workspace, RingCentral, and data organization to power a 3,000-patient mobile practice. You’ll take the lead on: Day-to-Day Operations & Phone Care (~45%): Owning all inbound/outbound calls (RingCentral) with elderly patients, managing route/zip-code scheduling, handling patient intake, and maintaining flawless patient records. Systems Building & SOP Creation (Weeks 1–12, ~35%): Auditing existing workflows, rebuilding the master patient sheet, standardizing triaging rules, writing SOPs, and leading the transition to a dedicated scheduling platform. Continuous Improvement & Scaling (~20%): Tracking key practice metrics, flagging operational bottlenecks, and creating the onboarding framework for future practice growth and secondary clinician additions. Inbox Triage & Reporting: Managing email flow with custom templates and delivering concise daily/weekly summaries directly to the practice owner. Requirements Requirements This Role Is a Great Fit If You: Are an Operational Architect: You have 3+ years running front-office or operations for a medical, dental, or allied-health practice (or similar ops role) where you built systems rather than just following them. Are Built for the 3:00 AM Shift: You have proven experience working US business hours/graveyard shifts and are fully committed to this exact schedule. Are Sassy, Warm, and Patient on the Phone: Personality is a requirement—you offer patience, humor, and banter (never a rigid script) to elderly callers, some with cognitive conditions. Are Bilingual (Spanish/English): Strongly preferred to support Spanish-speaking patient communications. Are High-Accountability: You don't need to be chased for updates. You take initiative, meet deadlines, fix operational gaps independently, and own your outcomes. Communicate with elite fluency and professional confidence, detail-obsessed to prevent route/scheduling errors. What Success Looks Like After 60–90 Days: Operations are Fully Owned: You have taken 100% ownership of the phone lines, intake, and scheduling; the clinician no longer touches back-office admin. The System is Fortified: You have rebuilt the master patient sheet, authored standard SOPs for all recurring tasks, and established a structured inbox triage system. Impact & Performance are Measured: Referral turnaround and no-show rates are down, weekly reports are running, and the new scheduling system is fully live.
