We are seeking a highly motivated Patient Scheduler to join our Cardiothoracic Surgery team.

This job can be performed 100% remotely. Preference may be given to applicants residing in Colorado, but out of state candidates will be considered.

Under general supervision, the Patient Scheduler performs a broad range of non-clinical scheduling and administrative functions in support of clinic operations throughout the Denver metro area. This role is responsible for managing incoming and outgoing calls, routing inquiries appropriately, registering new patients, scheduling clinic appointments, retrieving medical records, managing referral work queues, reviewing and responding to Epic In-Basket messages, processing provider scheduling requests, and maintaining accurate documentation. The Patient Scheduler serves as a primary point of contact for patients, providers, referring offices, and clinic teams, supporting efficient scheduling workflows, timely communication, and a high standard of customer service within the clinical environment. This position functions strictly in a non-clinical capacity and does not communicate clinical information such as diagnoses, test results, or post-operative care instructions. All clinical inquiries are directed to appropriate nursing or provider staff.

Essential Duties:

  • Manage inbound and outbound telephone calls, gather essential information, and route callers to the appropriate clinical or administrative team while maintaining professionalism and confidentiality.
  • Schedule clinic appointments accurately in Epic, selecting correct visit types, providers, and locations across multiple clinics throughout the Denver metro area.
  • Independently manage referral work queues, including reviewing new referrals, verifying required documentation, and scheduling patients according to DOS guidelines.
  • Review and complete Epic in-basket messages for non-clinical requests such as scheduling, documentation updates, and administrative follow-up while routing clinical concerns to the appropriate RN/APP/provider.
  • Manage provider-initiated scheduling requests for specific patients sent through Epic in-basket or other communication from providers or clinic teams, ensuring timely and accurate appointment placement.
  • Retrieve, upload, and route medical records, imaging, and supporting documentation to ensure providers have the information required for upcoming appointments.
  • Monitor and process incoming faxes, upload documents into the correct Epic encounter, and route items to the appropriate clinical or administrative team.
  • Attend DOS huddles, meetings, and scheduled trainings to remain informed of workflow changes, best practices, scheduling updates, and department-wide communication.

Requirements:

  • High school diploma or equivalent; 2 years of experience in a healthcare setting preferred.
  • Experience with Epic or comparable electronic medical record systems preferred.
  • Proficiency in Microsoft Office Suite.
  • Strong verbal and written communication skills with professional telephone etiquette.
  • Excellent customer service and interpersonal skills with the ability to work with diverse patient populations.
  • Ability to multitask, adapt to shifting priorities, and work independently in a fast-paced environment.
  • Working knowledge of medical terminology and front-office functions preferred.
  • Ability to maintain confidentiality in accordance with HIPAA requirements.

The listed pay range (or hiring rate) represents CU Medicine’s good faith and reasonable estimate of the range of possible compensation at the time of posting and is based on evaluation of competitive market data.
