The Role
We’re seeking a Payroll & Onboarding Specialist. This role is designed for a highly organized, detail-oriented professional who excels at managing payroll administration, onboarding coordination, and operational processes with accuracy and efficiency.
You’ll play a key role in supporting payroll workflows, coordinating employee onboarding, maintaining accurate documentation and reporting, and ensuring seamless communication with internal stakeholders and external partners.
Location: Must be in Colombia – Remote.
Environment: Colombian and International Teams.
Language: Advanced English (B2+ - C1).
Timezone: Monday to Friday – 9:00 AM – 6:00 PM EST.
Contract: Non-fixed Term Colombian Contract.
Requirements
Education: Bachelor's degree or technical studies in Human Resources, Business Administration, Accounting, Finance, or a related field (preferred).
Experience: 2+ years of experience in payroll administration, onboarding, HR operations, accounting support, or administrative support. Experience supporting U.S.-based companies or distributed teams is a plus.
Skills: Advanced Excel (pivot tables, filters, formulas, and spreadsheet management), strong English communication skills, payroll and onboarding coordination, reporting, data management, and the ability to maintain confidentiality. Experience with HRIS, payroll platforms, accounting systems, or Ottimate (preferred; training provided).
Characteristics: Highly organized, detail-oriented, proactive, dependable, able to manage multiple priorities, meet deadlines, work independently, and communicate professionally with senior stakeholders and external partners.
Responsibilities
Payroll Administration:
Support payroll administration workflows, including data collection, validation, updates, and coordination.
Maintain accurate payroll-related records and ensure information is complete before submission.
Track payroll deadlines, required approvals, outstanding items, and follow-up actions.
Communicate directly with the funding partner regarding payroll information, requests, discrepancies, and next steps.
Identify missing information or inconsistencies and escalate issues promptly and professionally.
Onboarding Coordination
Coordinate onboarding steps for new hires and ensure required tasks are completed accurately and on schedule.
Collect, organize, and verify onboarding documentation and employee records.
Maintain onboarding trackers, status updates, checklists, and supporting documentation.
Coordinate communication with internal stakeholders and new hires throughout the onboarding process.
Support improvements to onboarding workflows, templates, and process documentation.
Excel, Reporting & Data Management
Maintain detailed spreadsheets and trackers using strong Excel functionality.
Use Excel tools, including pivot tables, filters, formulas, and clean formatting, to organize and analyze information.
Prepare routine reports and status updates for leadership review.
Ensure payroll, onboarding, and operational data is accurate, consistent, and easy to review.
Cross-Functional Coordination
Manage multiple priority tasks while maintaining accuracy, responsiveness, and confidentiality.
Provide timely updates to Adam, Kristin, and other key stakeholders as needed.
Collaborate with internal team members to support payroll, onboarding, and operational continuity.
Assist with additional administrative or operations-related responsibilities as business needs evolve.
