Position Summary:
The Payroll Assistant will support accurate and timely payroll operations for a U.S.-based organization operating across multiple states. This role will assist with payroll processing, payroll tax compliance, reconciliations, employee tax setup, and payroll-related reporting while ensuring compliance with applicable federal, state, and local requirements.
The position will work closely with Payroll, Human Resources, Finance, Accounting, and external payroll/tax vendors to identify and resolve discrepancies, maintain accurate payroll records, and support ongoing compliance activities.
Working Hours:
3:00 PM to 12:00 AM Türkiye time, in alignment with U.S. Eastern Time (ET). Please note that working hours in Türkiye will shift accordingly due to Daylight Saving Time (DST) changes in the United States.
Key Responsibilities:
- Manage payroll tax compliance, including accurate calculation, withholding, and remittance of federal, state, and local taxes.
- Prepare and file payroll tax returns, including Forms 941, 940, W-2, and applicable state/local filings.
- Monitor and implement changes in payroll tax laws and regulations.
- Oversee multi-state tax registrations and jurisdictional compliance.
- Ensure accurate employee tax setup and withholding configurations.
- Perform payroll tax reconciliations and resolve discrepancies.
- Respond to tax notices, audits, and agency inquiries.
- Collaborate with internal teams to ensure payroll and tax compliance alignment.
- Support payroll system configuration, optimization, and process improvements.
- Provide guidance and training to internal teams on payroll tax requirements; support expansion into new states by establishing tax compliance processes; assist with special projects related to payroll and compliance; and contribute to continuous improvement initiatives.
Required Skills & Qualifications:
- 3–5 years of experience in payroll, payroll tax, accounting, or a related field.
- Strong experience with U.S. multi-state payroll, preferably supporting employees across 10+ states.
- Strong knowledge of federal, state, and local payroll tax regulations, including withholding, unemployment taxes, and tax filings.
- Experience with multi-state payroll tax compliance and maintaining accurate employee tax jurisdictions.
- Hands-on experience with payroll systems such as ADP, Paychex, UKG, Paylocity, or similar platforms.
- Advanced proficiency in Microsoft Excel, including VLOOKUP/XLOOKUP, PivotTables, formulas, data reconciliation, and reporting.
- Ability to perform payroll reconciliations, identify discrepancies, investigate variances, and ensure accurate payroll processing.
- Strong understanding of gross-to-net calculations, deductions, garnishments, benefits, bonuses, and other payroll adjustments.
- Experience reviewing and reconciling payroll tax liabilities, payroll registers, and general ledger entries.
- Familiarity with W-2, W-4, 1099, state withholding, unemployment, and year-end payroll processes.
- Ability to monitor and maintain state registrations, tax accounts, filing requirements, and payroll tax notices.
- Experience working with multiple legal entities, locations, and state-specific payroll requirements is preferred.
- Strong attention to detail and ability to handle confidential employee and payroll information.
- Strong analytical and problem-solving skills with the ability to research and resolve payroll discrepancies independently.
- Ability to work effectively with HR, Finance, Accounting, Benefits, and external payroll/tax vendors.
- Strong organizational skills and ability to manage multiple payroll deadlines and compliance requirements simultaneously.
- Ability to work in a fast-paced, U.S.-based remote/hybrid environment and collaborate with teams across different time zones.
- Strong written and verbal English communication skills.
- CPP (Certified Payroll Professional) certification or FPC certification is a plus.
- Experience in healthcare, home care, behavioral health, or other multi-location service organizations is a plus.
