FSSC Hire to Retire (H2R) is a stream within the Financial Shared Service Center (FSSC) and a major area of Business Support within Vanderlande. The Department is responsible for international (APAC) employee administration and manages the payroll for Vanderlande’s operating subsidiaries in multiple countries. There is a high degree of collaboration between International Mobility, HR and Finance and interaction with the business.
FSSC is focused on the further professionalization of Vanderlande’s core administrative processes to facilitate and support the company’s objectives worldwide. In a context with complexity, internationalization, strong growth and entering new countries we focus on one way of working, optimizing and embedding our processes, further digitalization and automation in order to build a sustainable service organization for the future.
What you will do
Working internationally is becoming increasingly important within Vanderlande. We are actively involved in more than 200 projects in 105 countries. Of course we want to pay our colleagues all over the world their salaries on time, arrange social insurance and pensions for them, and ensure timely and correct processing in our accounts. Our FSSC H2R tower in Pune is responsible for all these tasks for APAC countries. As our new International Payroll Officer, you will be responsible for:
- Processing payroll for different APAC countries such as India, Australia, New Zealand, Singapore, Hongkong, Japan, Malaysia, Thailand
- Processing changes
- Implement improvements
- Journal entries
- Reconciliation with the HR System (e.g. Workday, JDE etc.)
- Manage relationships with various internal and external stakeholders
- Work on different Payroll platforms like Workday, Cloud Pay, Safeguard etc.
- Manage daily responsibilities through the payroll cycle with accountability and ownership
- Responsible for compliance adherence in countries you support
- Handle escalations of employee queries through ServiceNow tickets with an expectation to provide a high caliber service to employees utilizing consistent global standards
- Handle escalations from stakeholders/employees, including senior leadership on issues related to Payroll
- Build a strong and collaborative relationship with HR and Finance colleagues in relation the countries you support
- Generate and act on reports from Service Now, Workday and Cloud pay.
- Work with a continuous improvement mindset
- Preparation, review and maintenance of SOP’s, Guidelines and Checklist for all payroll related processes
- Ensure high levels of accuracy of payroll results whilst identifying, documenting, and escalating all issues in relation to payroll or data quality and timeliness
- Support local, regional, and global payroll teams on projects related to Payroll.
- Vendor Management – Proactively manage payroll related vendors, ensuring productive and transparent relationship.
- Work with Audit & Compliance teams when required in supporting audits and compliance reviews.
What you bring
Besides your enthusiasm, team player mentality and motivation, we are looking for:
- Bachelor’s degree in HR, Business Administration or Accounting
- Fluent in English (additional languages would be advantageous)
- Demonstrable affinity with payroll matters and financial/general accounting.
- A willingness to work flexibly. Because of the different time zones, you must be prepared to take calls from or contact your colleagues outside normal working hours.
- Proven experience in managing APAC countries Payroll.
- Proven ability to appropriately handle sensitive information required. Must have a high degree of accuracy and a customer-service approach. Must demonstrate a knack for navigating in an ambiguous environment
- Bachelor’s degree in accounting.
- Minimum of 8-10 years’ experience in payroll processing.
- Experience in payroll compliances is mandatory.
- Ability to work effectively with minimum supervision.
- Working knowledge of payroll software, Workday, Cloud pay and tax/wage laws is an added advantage.
- Well versed with MS Office applications and Excel expertise
- Must have the ability to adhere to deadlines
- Strong communicator and team player
- Excellent verbal and written communication skills.
- Ability to work in a dynamic, fast moving, and demanding environment.
