Salary Range: $85,000.00 To $90,000.00 Annually PAYROLL SUPERVISOR JOB SUMMARY The Payroll Supervisor provides day-to-day leadership and functional oversight of payroll operations across a multi-state, multi-entity organization, ensuring payroll is accurate, timely, compliant, and supported by strong controls and documented processes. This is a hands-on role responsible for reviewing payroll execution, resolving complex payroll issues, strengthening controls and business continuity, and serving as a key payroll subject-matter expert. The Payroll Supervisor should understand not only how payroll is processed, but also the financial, compliance, and employee implications of payroll decisions. WHO WE'RE LOOKING FOR Experienced payroll professional with strong knowledge of multi-state payroll, payroll taxes, wage and hour requirements, and payroll compliance Hands-on leader who can oversee payroll operations while remaining comfortable processing payroll directly when needed Strong reviewer who can identify discrepancies, evaluate downstream impacts, and ensure issues are fully resolved Process-minded professional who values controls, documentation, consistency, and business continuity Analytical problem solver who can navigate complex payroll, tax, and jurisdictional issues Collaborative partner who works effectively across Operations, HR, Finance, and Compliance Trusted professional who exercises sound judgment and discretion with sensitive employee and payroll information KEY RESPONSIBILITIES Oversee and review payroll processing across multiple states and legal entities, ensuring accurate and timely execution in accordance with company policies and applicable regulations Provide day-to-day direction, review, and support to payroll team members, including workload coordination, training, and issue resolution Review payroll inputs, employee changes, earnings, deductions, taxes, benefits, retirement contributions, and other payroll transactions prior to processing Process payroll directly as needed to provide backup coverage and ensure business continuity Investigate and resolve complex payroll discrepancies, tax issues, jurisdictional questions, system exceptions, and employee escalations Maintain strong payroll controls, including documented review procedures, approval requirements, processing calendars, checklists, and segregation of duties Partner with Finance on payroll reconciliations, payroll liabilities, funding, general ledger accuracy, and payroll-related financial reporting Coordinate payroll tax and multi-state compliance matters, including tax notices, jurisdictional changes, and resolution of complex tax issues Maintain the integrity of payroll-related employee and pay data and coordinate resolution of discrepancies across payroll and HR systems Own payroll-specific system requirements, testing, data validation, reporting, and process improvements in partnership with HR and Compliance Coordinate retirement-plan payroll administration, including deductions, remittances, reconciliations, audits, corrections, and data requests Oversee payroll execution related to compensation changes, bonuses, leaves, benefits, employee status changes, garnishments, and other statutory deductions Oversee timekeeping inputs as they relate to payroll accuracy, exceptions, and reconciliation Support year-end payroll processes, required filings, audits, and remediation of findings Develop and maintain payroll SOPs, calendars, controls, documentation, cross-training, and business continuity procedures Support payroll integration associated with acquisitions, new entities, and employee transfers Prepare and review workforce and payroll reporting, including trends, exceptions, and variances Identify opportunities to automate, simplify, and strengthen payroll processes while reducing operational and compliance risk Participate in future payroll and HRIS system evaluation, implementation, testing, and transition activities Ensure appropriate backup coverage exists for critical payroll responsibilities REQUIREMENTS 5+ years of progressive payroll experience in a multi-state environment; multi-entity experience strongly preferred Demonstrated experience independently administering and reviewing end-to-end payroll Strong experience with ADP Workforce Now Strong knowledge of federal, state, and local payroll tax requirements, wage and hour rules, and payroll compliance Experience with payroll reconciliations, payroll accounting, tax matters, retirement deductions, benefits deductions, garnishments, and complex payroll exceptions Experience reviewing the work of others, providing payroll guidance, training team members, or coordinating payroll operations Strong analytical and problem-solving skills with exceptional attention to detail Strong process orientation with experience developing or improving payroll controls, procedures, and documentation High level of discretion and professionalism when handling confidential information Strong written and verbal communication skills with a service-oriented approach Ability to manage competing priorities and recurring deadlines in a fast-paced environment OUR COMMITMENT TO CULTURE: At Miles Partnership, we are driven by our commitment to actively evolve inclusive marketing industry practices, drive innovation within the company and empower our team, our clients and the communities we serve.
