About the Role
We are looking for a detail-oriented and people-focused People Operations Specialist to join our team in Braga.
In this role, you will support the day-to-day HR operations, payroll coordination, benefits administration, compliance documentation, and office management activities that help our business run smoothly. You will work closely with our Global HR team, local management, employees, and external partners to ensure HR processes are accurate, efficient, and delivered on time.
This is a hands-on, operational role suited to someone who enjoys working across different areas of HR, is comfortable managing multiple priorities, and takes pride in providing reliable support to employees and managers.
HR Operations & Employee Lifecycle
- Manage day-to-day HR administration, including employee records, personnel files, employment documentation, and employee lifecycle changes.
- Prepare and maintain employment contracts, amendments, employee status changes, and other HR documentation.
- Support onboarding and offboarding processes, ensuring all required documentation, registrations, and administrative steps are completed on time.
- Maintain accurate and up-to-date employee information across HR systems, spreadsheets, and document management tools.
- Provide administrative support for performance management, salary reviews, and other employee-related processes.
Payroll, Benefits & Administration
- Coordinate monthly payroll preparation by collecting and validating payroll inputs, including absences, leave records, bonuses, deductions, and employee changes.
- Work closely with external accountants, payroll providers, and finance partners to support accurate and timely payroll processing.
- Administer employee benefits, including private health insurance, and respond to employee queries related to benefits and associated documentation.
- Maintain accurate records of annual leave, sick leave, parental leave, and other employee absences.
- Prepare employee documentation required for payroll, benefits, banking, and other administrative requests.
Compliance, Audit & Documentation
- Maintain complete, accurate, and audit-ready HR and employee documentation.
- Support internal and external audits, including SOX-related reviews, by gathering and organizing relevant records.
- Coordinate employee registrations, employment terminations, and other required submissions through applicable local administrative and government systems.
- Coordinate health and safety training with external providers and maintain the relevant documentation.
- Work with the Global HR team, external accountants, and legal advisors on employment documentation and local compliance requirements.
Employee Experience & Engagement
- Act as a local point of contact for employees and managers on routine HR questions, benefits, leave, documentation, and workplace matters.
- Support employee engagement and development initiatives, including planning, coordination, communications, and logistics.
- Organize team events, office activities, and other initiatives that contribute to a positive employee experience.
- Gather employee feedback and identify opportunities to improve HR services and workplace processes.
- Represent the company at relevant external HR events when appropriate.
Office Administration & Business Support
- Coordinate day-to-day office administration to ensure a well-organized and efficient working environment.
- Liaise with suppliers, banks, external accountants, building management, and other service providers.
- Organize and track invoices, coordinating with external accounting partners and relevant invoicing platforms.
- Manage office supplies, equipment, maintenance requests, repairs, and fixed asset reporting.
- Support vendor coordination and gather information for contract, service, and pricing discussions.
- Coordinate travel arrangements, hotel bookings, visitor logistics, and office events as needed.
What We're Looking For
- 2–4 years of experience in HR administration, People Operations, payroll coordination, office administration, or a related role.
- Experience supporting employee lifecycle processes, payroll inputs, benefits administration, absence tracking, and HR documentation.
- Familiarity with HR systems, spreadsheets, document management tools, and administrative or government portals.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines.
- Excellent communication and interpersonal skills, with a service-oriented approach to supporting employees and managers.
- Professional fluency in Portuguese and English
- Ability to handle confidential employee information with discretion and professionalism.
- A proactive, hands-on mindset and the ability to identify opportunities to simplify processes and improve administrative workflows.
- Comfortable collaborating with different teams, external partners, and stakeholders in an international working environment.
