  • Maintain employee personnel files and ensure documentation is complete, accurate and compliant with Polish labour law and internal policies.
  • Manage changes concerning employment conditions, compensation, positions and employee data.
  • Coordinate termination and offboarding processes, including leave settlements, severance-related administration and employment certificates.

2) HR systems & data

  • Maintain accurate and timely employee data in Soneta Enova and Oracle HCM Cloud.
  • Work with People Assist and Płatnik as part of ongoing People Services operations.
  • Ensure high data quality and consistency across HR systems.
  • Support employees and managers with HR system-related queries.

3) Labour law & advisory support

  • Provide practical guidance to employees and managers on employment-related matters.
  • Advise managers on Polish labour law and its application in day-to-day employee situations.
  • Support managers with changes to employment conditions and employee exits.
  • Act as a senior point of contact for more complex People Services queries and employee matters.

4) Absence, working time & payroll support

  • Manage and verify sickness absence and other employee absence data.
  • Support working time processes, including overtime and TOIL-related matters.
  • Prepare and verify regular payroll inputs, including absences, benefit changes and deductions.
  • Work closely with payroll to ensure timely and accurate employee data.

5) Occupational health & safety administration

  • Coordinate pre-employment, periodic and return-to-work medical examinations.
  • Coordinate mandatory H&S training and monitor expiry dates.
  • Ensure related employee records are maintained correctly.

6) Benefits, PPK & insurance

  • Support and administer employee benefits, including Medicover and MyBenefit.
  • Manage PPK-related administration and employee insurance processes.
  • Answer employee queries concerning benefits and cooperate with external benefit providers.

7) People Assist & employee support

  • Manage employee requests and cases submitted through People Assist.
  • Monitor cases and ensure timely resolution.
  • Support structured and consistent communication between employees, managers and People Services.

8) Business partnering & change support

  • Support managers and the business with complex People Services and employee-related queries.
  • Provide guidance on the people implications of organisational and employment changes.
  • Support People initiatives and business changes from the People Services perspective.

9) Cross-functional & international cooperation

  • Work closely with managers, Talent Acquisition, IT, Payroll and Controlling to ensure smooth delivery of employee processes.
  • Cooperate closely with the People Services team in Romania and other international stakeholders.
  • Help maintain consistent People Services processes, standards and ways of working across teams.
  • Participate in the international Arcadis People Services community and cross-border People Services projects.

10) Reporting, continuous improvement & projects

  • Prepare HR reports for organisational and statutory purposes, including required reporting to institutions such as ZUS and GUS.

  • Very good command of English, both written and spoken.
  • Strong ability to advise managers and handle complex employee-related matters.
