Location: Wellington, New Zealand (ONLY LOCAL CANDIDATES)

Working Hours: 40 hours per week, with flexibility required for occasional events and extended stays at the family's home

Salary: NZ$68,000 per year

Overview


Our UHNW clients are seeking a highly organised, proactive, and exceptionally discreet Personal Assistant to provide comprehensive personal and administrative support to a private family based in the Wellington area.


This is a confidential private household appointment requiring someone who can work independently, manage a varied workload, and ensure the smooth running of the family's day-to-day affairs. The role combines remote administrative support with regular on-site responsibilities at the family's home.


The successful candidate will ideally be based in Wellington and must be comfortable travelling to the family's home approximately once or twice per week. Occasional stays at the house for up to a full week will be required when coordinating events, overseeing contractors, or managing other family requirements.


Privacy, security, and confidentiality are of the utmost importance. The ideal candidate will demonstrate sound judgement, professionalism, reliability, and the ability to anticipate needs while maintaining the highest standards of discretion.


Key Responsibilities


  • Administrative Support: Manage calendars, appointments, meetings, schedules, and general administrative tasks.
  • Communication: Handle emails, phone calls, correspondence, and enquiries with professionalism and discretion.
  • Travel Coordination: Arrange travel, transport, accommodation, itineraries, and related logistics.
  • Household and Property Coordination: Assist with the smooth running of the family's home, coordinating maintenance, deliveries, suppliers, and service providers.
  • Contractor Management: Liaise with contractors, arrange access, oversee works when required, and ensure tasks are completed efficiently.
  • Event Coordination: Organise and oversee private events, gatherings, meetings, and functions, including supplier coordination and on-site logistics.
  • Personal Assistance: Manage errands, bookings, purchases, and other personal tasks to support the family's daily requirements.
  • Document Management: Prepare reports, presentations, correspondence, and other documents as needed, maintaining organised records.
  • Confidentiality: Maintain strict confidentiality regarding the family's private affairs, lifestyle, properties, activities, and personal information.


Candidate Requirements


  • Proven experience as a Personal Assistant, Executive Assistant, or in a similar support role.
  • Previous experience in a private household or supporting senior executives or high-net-worth individuals would be advantageous.
  • Exceptional organisational skills, attention to detail, and time-management abilities.
  • Excellent written and verbal communication skills.
  • Proactive, resourceful, and capable of working independently with minimal supervision.
  • Strong problem-solving skills and the ability to manage competing priorities.
  • High level of integrity, discretion, and confidentiality.
  • Flexible and willing to travel regularly between Wellington and the Wairarapa.
  • Available for occasional extended stays at the farm, including full weeks when required.
  • Valid New Zealand driver's licence and confidence driving regularly for work.
  • Legally authorised to work in New Zealand.
  • Already based in Wellington or the surrounding area.
  • Working hours, travel time, overnight arrangements, and expense reimbursement will be discussed and agreed upon as part of the employment terms.


Salary and Benefits


  • Salary of NZ$68,000 gross per annum, based on a 40-hour working week.
  • Mileage reimbursement when using a personal vehicle for business travel, or access to a vehicle provided by the family when available.
  • Hybrid role, with on-site support required once or twice a week.
