About Us
At Sybilla Technologies, we are on a mission to let the world see what happens in space - clearly, reliably, and on time.
In a domain where objects travel at 24,000 km/h and a single unseen fragment can destroy a satellite or endanger a crew, visibility is everything. We transform that responsibility into action, building systems, software, and services that safeguard the future of global space operations.
Born from a passion for astronomy, engineering, and exploration, Sybilla has grown from a small, bootstrapped startup into a recognized European leader in Space Traffic Management, Space Surveillance & Tracking, and Space Operations.
We are now looking for a Planning & Quality Governance Lead to bring structure, consistency and transparency to how the company plans and coordinates its work across projects, programs, resources and departments.
What You Will Do
Experience & Background
As part of your participation in the recruitment process, we will process your personal data. The controller of your personal data is Sybilla Technologies sp. z o.o., with its registered office in Bydgoszcz.
The legal basis for processing personal data specified in the Polish Labour Code is the necessity to process such data in order to conclude a contract between the parties (Article 6(1)(b) of the GDPR). The legal basis for processing other data included in your application documents is your consent (Article 6(1)(a) of the GDPR). By providing us with personal data not specified in the Labour Code in your CV or other recruitment documents, you consent to their processing. You can contact the data controller by sending an email to: info@sybillatechnologies.com or by post to: ul. Toruńska 59, 85-023 Bydgoszcz, Poland.
If you would like to participate in future recruitment processes as well, please include the following clause in your CV: “I consent to the processing of my personal data by Sybilla Technologies sp. z o.o. also for the purposes of future recruitment processes.”

We are now looking for a Planning & Quality Governance Lead to bring structure, consistency and transparency to how the company plans and coordinates its work across projects, programs, resources and departments.
What You Will Do
- Own and coordinate the company-wide planning cycle, ensuring that planning activities are structured, connected, and delivered according to an agreed cadence.
- Define the planning calendar, scope, and objectives of recurring planning sessions across the organization.
- Coordinate planning for strategic, complex and cross-functional initiatives involving multiple projects, programs, or organizational units.
- Organize and facilitate key planning sessions, ensuring the right people are involved and that discussions result in clear outcomes.
- Consolidate and validate planning inputs and outcomes from projects, programs and departments into a coherent company-wide view.
- Coordinate periodic reviews of workload, capacity, resource demand, and priorities across the organization.
- Facilitate the resolution of resource and priority conflicts, bringing the relevant leaders together to reach practical decisions.
- Lead, manage and develop the Planning & Quality Governance team, setting clear objectives, responsibilities and expectations.
- Build effective cooperation between the different specialist areas within the function and across the wider PMO organization.
- Establish clear operating interfaces between planning, program delivery, project delivery, and departmental functions.
- Continuously improve planning practices, processes and standards based on delivery performance, lessons learned, audit findings and organizational needs.
- Ensure that planning and governance outputs are consistent, timely, actionable, and adopted across the organization.
- Oversee the quality governance framework and ensure that audit findings, lessons learned and agreed improvement actions translate into meaningful organizational and process improvements.
Experience & Background
- 5+ years of experience in project, program, portfolio or PMO environments, including at least 3 years in a leadership or management role.
- Proven experience running company-wide or multi-project planning cycles and resource/capacity reviews.
- Experience building, leading or developing PMO, governance, quality or business operations functions.
- Experience defining governance frameworks, decision-making processes, standards, and operating procedures.
- Experience leading and developing a small team.
- Experience working with PMO and work-management tools such as ClickUp at a planning and oversight level.
- Bachelor's or master's degree in project management, business administration or related field.
- PMP, PRINCE2, MoP or equivalent portfolio/program planning certification is a plus.
- Strong ability to bring structure and clarity to complex, cross-functional environments.
- Excellent facilitation, negotiation, and stakeholder management skills.
- Ability to work effectively with leaders from different functions and balance competing priorities.
- Strong organizational and analytical skills, with the ability to see both the bigger picture and the dependencies underneath it.
- Comfortable facilitating planning and decision-making rather than simply producing plans yourself.
- Strong ownership and follow-through - make sure that agreed actions actually happen.
- Ability to identify conflicts and bottlenecks early and help the organization address them constructively.
- A continuous-improvement mindset combined with an appreciation for the value of stable, predictable processes.
- Strong command of English, both written and spoken, for daily communication in an international environment.
- Compensation: PLN 21,000-29,000 gross/month (Employment Contract), depending on experience and qualifications. Alternatively, PLN 165-220 net/hour (B2B contract),
- Full-time employment,
- Remote-first work model, with occasional visits to our Bydgoszcz office,
- Flexible working hours,
- Medical package and sport package,
- Group insurance,
- The opportunity to work in a highly specialized space-tech environment with astrophysicists, engineers, analysts, and strategists,
- A role with real organizational impact - helping shape how a growing technology company plans, prioritizes and delivers its work.
- We work in a dynamic, rapidly evolving environment where clarity, accountability, and preparedness matter as much as innovation.
- Our culture is built around ownership, transparency, quality, and getting things done. We care about results, not appearances, and about delivering on our commitments while maintaining high standards.
- You will join a team working on systems and services that help agencies, defense organizations and commercial players navigate an increasingly crowded orbit - contributing to the safety, fairness and growth of the global space economy.
- If you are someone who enjoys bringing order to complexity, connecting people around common priorities and building systems that help organizations perform better, we would love to hear from you.
- At Sybilla, we don't just observe space. We make it navigable. Predictable. Safe. And you can help shape what comes next.
