Practice Manager

Compensation: $85,000 – $90,000 annually, paid bi-weekly

Schedule: Monday - Friday, standard business hours (evenings/weekends as needed)

Employment Type: W-2 Employee, Full-Time, Exempt

Location: Hybrid out of Minneapolis, MN

Role Summary

The Practice Manager oversees the day-to-day administrative and front-office operations of the practice, ensuring smooth scheduling, accurate records, and efficient support for clinical and leadership staff. This role is central to maintaining an organized, compliant, and welcoming office environment for patients/clients and staff alike.


Responsibilities:

Strategic Operations & Practice Growth

  • Support the execution of operational and growth initiatives identified by senior leadership, ensuring timely follow through and completion
  • Monitor operational systems and workflows to ensure efficiency, scalability, and quality patient care, providing support where gaps are identified
  • Identify operational inefficiencies and implement practical, systems-level improvements in collaboration with leadership
  • Manage and monitor discretionary budgets for operational, marketing, and outreach initiatives, ensuring spending aligns with priorities, stays within approved limits, and is tied to measurable outcomes
  • Assist in the execution of growth plans by coordinating projects, tracking progress, and ensuring accountability across teams

Administrative, Billing, and Team Oversight

  • Supervise medical assistants, site coordinators, intake, referrals, administrative, and billing leads responsible for day-to-day operations
  • Ensure workflows are followed consistently and align with organizational policies, payer requirements, and service delivery standards
  • Support resolution of escalated operational or billing issues, while maintaining appropriate boundaries from daily task execution
  • Monitor key operational and financial indicators, flagging concerns and supporting implementation of solutions

Project & Systems Development

  • Lead the execution of operational and organizational projects, including technology implementations, workflow improvements, and service expansion support
  • Coordinate cross departmental projects, ensuring clear communication, defined timelines, and completion of deliverables
  • Develop and maintain standard operating procedures and systems to support consistency and efficiency
  • Use data and reporting to identify areas for improvement and support continuous operational enhancements

Collaboration & Reporting

  • Provide regular updates to senior leadership on project status, operational performance, and key initiatives
  • Organize and facilitate marketing meetings, including setting agendas, tracking action items, and ensuring follow through, and participate in select leadership meetings to report on progress and support implementation of decisions
  • Support cross departmental coordination by tracking action items and ensuring follow through
  • Perform other duties as assigned to support the organization’s operations and growth

Requirements

Requirements

  • Bachelor's degree in healthcare administration, business, or related field (Master's preferred).
  • 3+ years of experience in operations management, HR administration, or healthcare leadership.
  • 5+ years of progressive healthcare management experience, including leadership of multi-provider, high-revenue practices.
  • Demonstrated experience contributing to and executing on organizational strategy, not solely operational management.
  • Proven track record developing and implementing SOPs and performance monitoring systems.
  • Demonstrated success in cross-functional leadership, provider relations, and financial oversight.
  • In-depth understanding of EHR systems, billing processes, and regulatory compliance.
  • Proficient with Microsoft Office Suite and Google Suite or similar software.
  • Strong problem-solving skills and analytical mindset, with a proactive, forward-looking approach to practice management.
  • Excellent interpersonal, verbal, and written communication skills.
  • Excellent time management skills and ability to meet deadlines.
  • Ability to work with minimal supervision.
  • Willingness to work on site with designated days at each practice office.
  • Ability to abide by ethical guidelines and policies, including strict adherence to confidentiality and HIPAA guidelines.
