About the Role

We are seeking an experienced and highly organized Pre-Litigation Personal Injury Case Manager to support a growing U.S. personal injury practice.

This role will focus on managing personal injury matters during the pre-litigation stage, from client intake and case opening through treatment coordination and records collection.

The ideal candidate has hands-on experience working with a U.S. personal injury law firm, understands the pre-litigation case lifecycle, and can independently follow up with clients, medical providers, and insurance companies to keep cases moving forward.

Key Responsibilities

Client Intake & Case Opening

• Conduct prospective and new client intakes.
• Collect required documents and information from leads and clients.
• Prepare and send retainer agreements for signature.
• Organize and maintain new client documentation.

Insurance Claims

• Open insurance claims on behalf of clients.
• Prepare and send Letters of Representation to insurance carriers.
• Communicate with insurance companies regarding claim information and status.
• Maintain accurate insurance and claim documentation.

Treatment Coordination

• Coordinate and manage clients' medical treatment.
• Maintain regular communication with clients regarding treatment progress.
• Follow up with medical providers regarding appointments, medical records, and outstanding bills.
• Monitor treatment progress and identify outstanding items requiring follow-up.

Records & Case Documentation

• Obtain police and accident reports.
• Request and follow up on medical records and billing statements.
• Maintain complete and organized electronic case files.
• Ensure case information and documentation remain accurate and up to date.

Additional Responsibilities

Depending on experience, the successful candidate may also assist with:

• Preparing and sending settlement demand packages.
• Supporting lien negotiations and lien reductions.
• Other related personal injury case management responsibilities as assigned.

Qualifications

• Previous experience as a Personal Injury Case Manager, Legal Assistant, or similar role with a U.S. personal injury law firm.
• Strong understanding of the personal injury pre-litigation process.
• Experience conducting client intakes and opening insurance claims.
• Experience coordinating medical treatment and communicating with healthcare providers.
• Experience requesting medical records, bills, and police reports.
• Strong written and verbal English communication skills.
• Excellent organization, follow-up, and attention to detail.
• Ability to independently manage multiple active cases and priorities.

Preferred Experience

• Settlement demand preparation.
• Medical lien management and lien reductions.
• Insurance carrier communication.
• Medical records and billing coordination.
• High-volume personal injury case management.

Ideal Candidate

We are looking for someone who is proactive, dependable, and highly organized. You should be comfortable taking ownership of assigned cases, following up consistently, and identifying what needs to be done next without requiring constant supervision.

Prior hands-on U.S. Personal Injury experience is strongly preferred. This position is best suited for someone who already understands how pre-litigation PI cases move from intake through treatment and case development.
