POSITION OVERVIEW
The Preboarding Specialist independently manages the candidate journey from the moment an offer is accepted through to their official first day. This role serves as the critical compliance gateway and candidate guide—ensuring all pre-employment requirements, license checks, and regulatory documentation are 100% completed while delivering a seamless, high-touch experience.
If you possess rigorous attention to detail, a compliance mindset, and prior experience in HR operations or recruiting, this role lets you take full ownership of candidate transitions in a high-growth environment.
KEY RESPONSIBILITIES
- Preboarding Ownership & Case Management: Guide new hires end-to-end through post-offer requirements, ensuring timely execution of pre-employment forms, health assessments, and compliance checks.
- Primary Source Verification (PSV) & Auditing: Audit recruitment data for accuracy (compensation, titles, employment history) and execute PSV for clinical licenses, certifications, and regulatory criteria.
- Document Generation & ATS Management: Issue job-specific documentation (offer letters, incentive agreements, state forms) and complete new-hire actions in the Applicant Tracking System (Taleo) and HRIS.
- Cross-Functional Stakeholder Alignment: Deliver real-time candidate status updates to recruiters, facility HR leads, and hiring managers to ensure first-day operational readiness.
- Candidate Advocacy & De-escalation: Serve as a single point of contact for candidate inquiries, removing friction, resolving bottlenecks, and scheduling medical/health appointments with empathy and discretion.
- Compliance, Data Integrity & Security: Maintain strict adherence to federal, state, and local employment laws, uploading verified records into the Document Management System with zero-error accuracy.
QUALIFICATIONS & REQUIREMENTS
- Experience: Minimum 1–2 years of hands-on experience in talent acquisition, preboarding/onboarding logistics, or HR operations (healthcare or regulated industry experience preferred).
- Language & Communication: Professional English fluency (verbal and written) with exceptional written tone, candidate care standards, and de-escalation skills. (Bilingual in English/Spanish or English/French is a strong plus).
- System & Software Proficiency: Working knowledge of enterprise ATS platforms (Taleo preferred), HRIS databases, and Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Regulatory Understanding: Baseline familiarity with U.S. federal, state, and local labor regulations, compliance standards, and credential verification protocols.
- Core Competencies: Meticulous attention to detail, ability to handle confidential data with strict integrity, and strong multi-tasking skills under tight deadlines.
WHAT WE OFFER
- Competitive compensation package with performance incentives.
- Priority evaluation for early applicants ahead of official 2027 seat openings.
- Comprehensive remote onboarding and continuous HR operations training.
- Career growth pathways within global Talent Acquisition and HR Shared Services.
💡 Candidate Tips: Make Your Application Stand Out!
To ensure our recruiting team flags your resume during this early-access campaign, tailor your CV using these tips:
- Highlight Compliance & Primary Source Verification (PSV):
- Explicitly detail your experience auditing offer details, verifying licenses/certifications, and managing background or health clearance workflows.
- Specify HR Tools & ATS Systems:
- Clearly state the ATS and HRIS platforms you have used (e.g., Taleo, Workday, Greenhouse, PeopleSoft, SAP) along with your proficiency in Microsoft Excel.
- Detail Case Volume & Accuracy Metrics:
- Quantify your experience where possible (e.g., "Successfully preboarded 40+ candidates monthly while maintaining a 100% compliance audit score").
- Emphasize Communication & Language Skills:
- Highlight your English proficiency level and any experience liaising between candidates, hiring managers, and cross-functional HR teams.
- Format for ATS Readability:
- Use clean, standard headings (Work Experience, Technical & HR Skills, Education, Certifications) in PDF or Word format so our tracking system parses your experience correctly.
