We’re looking for a Procurement & Quality Control Specialist to join the Luxe Tribes team.
This is a hands-on role sitting across travel operations, supplier management, itinerary coordination, budget management and quality control. You’ll take ownership of the operational and commercial coordination of assigned group trips, working with our global network of hotels, DMCs, transport providers, hosts, photographers, restaurants and experience partners to ensure each trip is ready to deliver to the Luxe Tribes standard.
Many of our trips already have established itineraries, suppliers and budgets, so this role isn't only about sourcing new vendors. A large part of the role is taking an existing travel product and holding the pen across its budget, suppliers, itinerary and operational readiness from planning through to post-trip review.
Key Responsibilities
1.Itinerary & Budget Management:
Manage and refine assigned trip itineraries and budgets, ensuring alignment between guest experience, operational feasibility and commercial targets.
2.Vendor Sourcing & Onboarding:
Support the sourcing, vetting and onboarding of vendors, including accommodations, transport providers, DMCs, guides, restaurants and experience partners.
3.Supplier Coordination:
Manage communication with assigned suppliers throughout the trip planning cycle, ensuring inclusions, timings, requirements, pricing and deliverables remain aligned with the approved itinerary and budget.
4.Negotiations & Pricing:
Support vendor negotiations, pricing reviews and inclusion checks to ensure strong value while maintaining Luxe Tribes' quality and guest experience standards.
5.Accommodation Coordination:
Manage accommodation requirements from a procurement and operational perspective, including room blocks, rates, booking terms, payment schedules and cancellations, working closely with Guest Experience on final guest rooming requirements.
6.Quality Assurance:
Ensure vendors, accommodation, experiences and itineraries meet Luxe Tribes' quality, safety and service benchmarks before departure.
7.Logistics Management:
Work with suppliers to confirm the operational details required for successful trip delivery, including transport arrangements, timings, hosts and other trip logistics.
8.Performance Monitoring:
Track supplier performance using traveler feedback, incident tracking and internal reviews to maintain consistent quality.
9.Risk Management:
Identify and flag quality risks, service gaps, operational concerns or recurring supplier issues and support remediation or escalation where necessary.
10.Cross-team Coordination:
Work closely with Guest Experience and other internal teams to ensure trip requirements are clearly scoped and handed over, with clear ownership across supplier management and guest-level coordination.
11.Vendor Documentation:
Maintain accurate supplier records, contracts, approvals, booking information, payment requirements and performance history within internal systems.
12.Pre-Trip Quality Control:
Complete pre-departure checks across assigned trips to ensure suppliers, accommodation, logistics and itinerary inclusions are confirmed and ready for delivery.
13.Post-trip Analysis:
Review traveler and internal feedback following each departure and use those insights to improve supplier selection, itinerary design, budgets and future trip delivery.
