Responsibilities: The Program Coordinator will work collaboratively with the International Services Office (ISO) Support and Engagement team to provide administrative and logistical support for all ISO sponsored events and programs. This includes cross campus collaboration, social media engagement, and some student oversight. Please note, this position has an end date of 6/30/2027 with potential extension subject to funding. Essential Functions: Programming Support Will support the Assistant Director with the planning, promotion and implementation of all in-person and virtual events. Will work across campus lines to reserve rooms, coordinate technology, and secure appropriate permissions for on-campus events. Will gather information, make reservations, and secure transportation accommodations for off-campus events. Will supervise campus events and trips in person along with Assistant Director and student assistants Communications Will collaborate with ISO staff to send ISO newsletter for students, faculty, and staff Will update online platforms with new content for upcoming events, programs, and other materials as needed Social Media Will promote events through multiple Social Media platforms Will use infographics and marketing templates to design fliers and social media posts to advertise events and programs to students Along with Assistant Director, coordinate social media posting schedule for Instagram and other platforms utilizing online planning calendar Budget and Supervision Will support Assistant Director in hiring and oversight of students who will be working on social media, marketing, and programming initiatives Will manage the budget and reconcile expenses as they relate to social media and programming initiatives Special Programs & Other Duties Will support team with additional programming for special programs such as Fulbright Program, Global Visitor Program, Mentorship Program, Scholars, etc. Will create newsletters and communications for special stakeholder groups as needed Will support future special programs for cohorts on behalf of Office for Global Engagement Other duties as assigned Minimum Education & Experience: Associate's degree and 3 years of progressively responsible experience in administrative support required preferably working with international populations Bachelor’s Degree in related field preferred Experience with student programming preferred Experience collaborating across campus departments in higher education preferred Or equivalent combination of education and experience Knowledge, Skills & Abilities: Proficiency with Microsoft Suite, FileMaker Pro, virtual collaboration tools (Zoom, Box), Adobe, etc. required Office procedures, database entry principles, customer service and public relations principles, principles of math, mailing and distribution methods, training principles, leadership principles, intermediate to advanced budget administration principles, inventory and supply maintenance principles, event planning required Ability to effectively communicate and interact, both verbally and in writing, with all people required Intermediate knowledge of hardware and software functionality preferred Experience with organizing Zoom meetings and Zoom webinars Knowledge of social media platforms (Instagram, Youtube, etc) Experience working with Canva preferred Experience with campus event registration platforms such as CCC, University Events Calendar, and Eventbrite preferred Experience with video production preferred Understanding of the Social Security and ITIN process (CAA) as they relate to international students preferred The University of Rochester is committed to fostering, cultivating, and preserving an inclusive and welcoming culture to advance the University’s Mission to Learn, Discover, Heal, Create – and Make the World Ever Better.
