Position: Program Education Coordinator Reports To: Senior Manager, National Training Department: Child First Clinical Supervisory Role: No Location: Remote, U.S. Employment Status: Full-Time FLSA Status: Exempt POSITION OVERVIEW The Program Education Coordinator manages training registrations, course completion reports, coordination of logistics for training sessions, maintenance of event budgets, supports development and maintenance of instructional materials in alignment with adult learning best practices, and provides administrative support to the Child First program’s Clinical Training team. This role requires proficiency with the programs online/electronic learning management system and educational software to best support facilitation of events in multiple formats (i.e., live, in-person, webinar, hybrid, and distance learning), and provision of technical assistance to learners. Additionally, this person will have the opportunity to engage in organization efforts focused on enhancing Child First model implementation, practice integrity, quality enhancement, as well as equity and inclusion. ESSENTIAL DUTIES & RESPONSIBILITIES 60% Training Support and Development: Coordinate and report on the Child First program’s training activities including training registration, attendance, reports, and communications for online distance learning, webinars, hybrid format, and in-person training utilizing a learning management system. Lead evaluation of training offerings, including external continuing education summaries and internal evaluation processes, and collaborate on the development of quality improvement plans for training sessions based on feedback. Provide backend support for virtual training sessions when required. Organize, update, and manage the Child First program’s training materials, such as workbooks, reference guides, overview documents, PowerPoint presentations, etc., from content provided by subject matter experts. Organize, review, and update the Child First program’s training materials to align adult learning best practices with the Child First program model and Changent values and guidelines. Schedule venues, order supplies, and coordinate catering services for in-person training events, while ensuring budgetary requirements are maintained. 30% Administrative Support: Provide comprehensive administrative support to the clinical-training department, including calendar management, meeting coordination, internal communications, and logistical support for team activities and initiatives. Assist with operational workflows, including onboarding support, resource management, and process coordination to promote efficiency and consistency across the department. Monitor and document changes in Child First network staff, and update systems as appropriate and based on role to ensure access to all needed systems. Monitor and provide support to Child First network staff experiencing challenges in the learning management system; document challenges and solutions. In collaboration with Child First Training team review challenges/solutions to critically evaluate and manage Child First programs learning management system. 10% Cross-Collaboration & Team Engagement: Serve as a point of contact for internal and external stakeholders, supporting communication, inquiries, and relationship management on behalf of the department. Engage in cross-collaborative projects as needed to best serve the educational needs of the network and organization. Participate and administratively support organizational meetings, cross-collaborative organizational committees, Child First departmental meetings, and individual supervision regularly . KNOWLEDGE, SKILLS, & EXPERIENCE Bachelor’s degree or equivalent experience required. Minimum three years’ experience providing administrative or operational support in a healthcare, behavioral health, early childhood, or nonprofit setting (preferred), with familiarity in culturally responsive and team-based environments. Minimum one year experience with event or educational coordination preferred. Minimum one year experience with a learning management system preferred. Strong organizational and administrative skills, with experience managing calendars, coordinating meetings, and supporting departmental operations. Effective communication and interpersonal skills, with the ability to collaborate across teams and interact professionally with internal and external stakeholders. Proficiency in Microsoft Office and other administrative systems, with the ability to manage data, documentation, and reporting accurately Strong project management, organizational, and problem-solving skills, with the ability to manage multiple priorities and troubleshoot system and workflow issues Ability to manage multiple priorities, problem-solve, and follow through on tasks in a fast-paced environment Ability to travel up to 20% required (depending on current public health orders and business need) SUPERVISORY RESPONSIBILITIES This position reports to Senior Manager, National Training and has no direct reports.
