Job Description:

Under general direction, coordinates and manages human resources, administrative, financial, supervisory, and operational functions for the School of Music, Dance and Theatre. Serves as a key liaison between the school, the Herberger Institute for Design and the Arts, and central university offices. Provides support to faculty, staff, student workers, and academic leadership by managing complex personnel, financial, and administrative processes.


Position Salary Range:

  • $66,000 - $70,000 annually

Essential Duties:

Manage academic personnel and business affairs for the School of Music, Dance and Theatre including:

  • Human Resources Administration:
    • Serving as the primary resource for HR-related issues and inquiries:
    • Processing HR-related transactions, monitoring employee required training, maintaining personnel documentation, ensuring compliance with university policies and procedures
  • Academic Personnel Actions:
    • Serving as the primary resource for Academic Personnel Actions:
    • Managing promotion and tenure reviews, managing probationary reviews,coordinating sabbatical requests., coordinating multi-year reviews, processing administrative appointments, coordinating annual reviews, managing resignations and retirements
  • Recruitment, Hiring, and Onboarding:
    • Serving as the primary resource for Recruitment and Hiring:
    • Managing faculty and staff search processes, coordinating session faculty hiring, coordinating summer appointments, facilitating hiring for faculty associates, teaching assistants, and student workers, supporting staff promotion requests, managing documentation for employee hires, maintaining and implementing school onboarding procedures
  • Supervision and Staff Management:
    • Serving as supervisor for business office staff and student workers:
    • Supervising, training, and evaluating assigned staff, managing activities, monitoring work in progress and upon completion, reviewing job performance in relation to unit, department, and university goals, implementing corrective action as needed
  • Financial Operations and Business Office Support:
    • Supporting financial operations of the Business Office:
    • Reconciling accounts and payroll, processing and approving financial transactions in workday, managing PCards, authorizing purchases, preparing periodic and annual financial reports, preparing budget requests
  • Systems, Tools, and Documentation:
    • Creating development of systems, tools and policies:
    • Managing e-sign systems for the school, including AdobeSign, creating, updating, and distributing process and user guides, assessing unit operational functions, developing and implementing policies, procedures, and objectives, recommending and monitoring compliance with department policies and procedures, initiating and preparing administrative reports and documents
  • Communication and Collaboration:
    • Communicating with department and university administrators:
    • Serving as liaison with the Herberger Institute for Design and the Arts, collaborating across academic, HR, finance, and administrative units, resolving or assisting with the resolution of sensitive issues, establishing and maintaining effective working relationships

Desired Qualifications:

  • Six years of supervisory experience
  • Strong communication skills
  • Experience managing complex HR processes in higher education or a similarly complex organization
  • Experience with faculty and staff recruitment, appointments, reviews, promotions, tenure, leaves, separations, and personnel actions
  • Knowledge of university HR policies, employment practices, compliance requirements, hiring, onboarding, and personnel documentation
  • Experience with ASU HR and financial systems, preferably:
    • Workday HCM
    • PeopleSoft
    • Adobe Creative Suite
    • Canvas
    • Interfolio
    • Notion web content management
    • Microsoft Office Suite
  • Experience managing multiple faculty and staff searches and appointments
  • Experience with financial administration, including:
    • Account and payroll reconciliation
    • Purchasing
    • Payment processing
    • PCard administration
    • Budget monitoring
    • Financial reporting
  • Strong organizational skills
  • Ability to manage high-volume, confidential, detailed, and time-sensitive work
  • Ability to meet deadlines with accuracy
  • Ability to collaborate across organizational units
  • Ability to serve as a liaison between academic units and central university offices
  • Experience working in a fast-paced environment with changing priorities
  • Knowledge of human resource administration principles and procedures
  • Commitment to exemplary customer service
  • Engagement with the performing arts

Working Environment:

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
  • Regular use of standard office equipment including but not limited to computer workstations / laptop (keyboard, monitor, mouse), printer, fax, copier, and telephone.
