Position Summary
Resicum International, LLC is seeking a reliable and detail-oriented Program Specialist to provide administrative, operational, employee, travel, and program support for government contracting operations.
The Program Specialist will coordinate across multiple departments, support employees, maintain accurate documentation, track action items, and assist with day-to-day administrative and program requirements.
The ideal candidate will have strong organizational skills, excellent attention to detail, professional communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities
Travel & Travel Coordination
- Coordinate CONUS and OCONUS employee travel arrangements.
- Prepare travel requests and supporting documentation for submission.
- Coordinate hotel and lodging arrangements.
- Assist employees with travel questions and travel-related issues.
- Maintain travel documentation and records.
- Track official OCONUS travel.
- Prepare travel documentation and billing support packages.
Employee & New-Hire Support
- Assist with new-hire onboarding and collection of required information.
- Follow up with employees regarding outstanding onboarding requirements.
- Assist employees with travel and administrative questions.
- Support HR with Paylocity-related tasks and onboarding requirements.
- Coordinate employee information and administrative requirements as needed.
Project & Program Support
- Assist with employee project assignments and related administrative requirements.
- Track outstanding administrative and program-support actions.
- Coordinate with internal departments to resolve employee and program needs.
- Track meeting action items and follow up to ensure completion.
- Maintain accurate records related to employees, travel, payroll, security, and program activities.
- Provide general administrative and program support to project and program management personnel.
Payroll & Expense Support
- Collect, organize, and maintain employee travel receipts and supporting documentation.
- Provide travel and expense documentation for payroll processing.
- Assist with employee pay-related inquiries and coordinate with the appropriate personnel.
- Review documentation for completeness and accuracy.
Shipping & Logistics
- Prepare shipping labels for passports, laptops, equipment, and other company property.
- Coordinate employee equipment and document shipments.
- Update shipping information as required.
Vendor & Account Coordination
- Communicate with vendors and account representatives regarding company services.
- Request pricing, availability, account information, and service details.
- Assist with maintaining vendor relationships.
- Coordinate meetings and follow-up actions with vendors and account representatives.
- Research potential vendors and services when needed.
General Administrative Support
- Troubleshoot administrative issues and identify the appropriate internal point of contact.
- Research solutions to operational and administrative issues.
- Coordinate across departments to ensure employee and program requirements are addressed.
- Follow up on outstanding requests and ensure tasks are completed.
- Perform other administrative and program-support duties as assigned.
Required Qualifications
- Must be a U.S. citizen.
- Previous experience in program administration, operations, project coordination, or a similar administrative role.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to maintain accurate records.
- Ability to manage multiple priorities and meet deadlines.
- Ability to work independently while coordinating effectively with team members.
- Proficiency with Microsoft Office applications.
- Ability to handle sensitive company and employee information professionally.
- Ability to work full-time in a remote position.
Preferred Qualifications
- Experience supporting U.S. Government contracts or Department of Defense programs.
- Experience supporting CONUS and OCONUS employees.
- Experience with travel coordination and government-contractor travel requirements.
- Experience with Paylocity, QuickBooks, or similar HR/accounting systems.
- Experience with government contracting documentation, billing support, or project administration.
- Experience working with government contracting vendors or account representatives.
