Project Administrator

We are looking for a proactive, results-driven Project Administrator to act on behalf of the Delivery Manager in closing open positions on active and incoming projects. This role owns the full staffing lifecycle — from the moment a role is offered/won until the team member is formally assigned in the system. The ideal candidate has a strong talent acquisition and staffing background, thrives under pressure, and is relentless about hitting closure targets.

Responsibilities

• Review the team structure defined in the offer/contract and identify which positions have already been staffed versus which remain open or generic (TBD) roles
• Identify and prioritize open/generic roles that need to be filled to meet project and client commitments
• Source, screen, and evaluate candidate CVs against role requirements
• Organize and coordinate interviews, whether internal (with the project team) or external (with the customer), depending on what each role requires
• Actively participate in interviews to accelerate decision-making and speed up candidate sign-off
• Liaise with Resource Managers across practices to check bench availability for each open role
• When no suitable bench resource is available, initiate and drive the external Talent Acquisition/hiring process for that specific role
• Maintain close, proactive follow-up on every open position to maximize the number of roles closed within target timelines
• Ensure end-to-end tracking of each role: from the moment it is offered/contracted to the moment the candidate is officially staffed/assigned in the system
• Act as the primary point of coordination between Delivery, Resource Management, and Talent Acquisition for staffing matters
• Key Performance Indicator (KPI): Number of positions successfully closed (staffed and confirmed in the system) within the defined timeframe

Requirements

• Proven experience in Talent Acquisition, Staffing, or Recruitment, ideally in an IT services/consulting or delivery-driven environment
• Strong understanding of staffing/bench management processes and resource allocation
• Ability to work closely with Delivery Managers and Resource Managers, understanding project needs and translating them into staffing actions
• Hands-on experience with CV screening, interview coordination, and candidate evaluation
• Highly proactive, results-oriented mindset with a strong sense of urgency and ownership
• Excellent communication and coordination skills — comfortable interacting with internal teams and external customers
• Ability to manage multiple open roles simultaneously and prioritize based on urgency/impact
