Project Administrator II

📍 North York, ON or Chatham, ON (Hybrid)

💰 Up to $29.50/hour + 4% Vacation Pay

📅 12-Month Contract (Potential Extension)

🕒 Monday-Friday | Core Business Hours


We are seeking a highly organized Project Administrator II to support a dynamic team responsible for community engagement, stakeholder coordination, and project administration across Ontario. This role is ideal for an administrative professional who enjoys balancing multiple priorities, coordinating meetings and events, maintaining accurate records, and supporting projects in a fast-paced environment.

What You'll Do

Administrative & Project Support

  • Manage shared mailboxes and enter correspondence into tracking systems.
  • Prepare, edit, and format letters, presentations, briefing notes, reports, and meeting materials.
  • Coordinate meetings, maintain calendars, and track action items.
  • Attend meetings and prepare detailed meeting minutes.
  • Maintain stakeholder databases, contact lists, and distribution groups.
  • Support document management, quality assurance, and records retention activities.

Community & Event Coordination

  • Coordinate community meetings, workshops, and engagement activities.
  • Arrange venues, catering, accommodations, and event logistics.
  • Manage promotional materials and event inventories.
  • Assist with sponsorship and community investment initiatives.

Documentation & Compliance

  • Review and maintain consultation and engagement records.
  • Support preparation of regulatory and project-related documentation.
  • Organize project files and correspondence in accordance with record management standards.
  • Assist with maintaining SharePoint sites and team documentation.

What We're Looking For

✅ Minimum 3 years of administrative, project coordination, or office support experience

✅ Strong proficiency with:

  • Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • SharePoint
  • Document management systems

✅ Excellent:

  • Written and verbal communication skills
  • Organization and time management
  • Ability to prioritize competing deadlines
  • Attention to detail and accuracy

✅ Comfortable working independently while collaborating with multiple stakeholders and project teams.

Nice-to-Have Qualifications

  • Post-secondary education in Business Administration, Office Administration, Project Management, or a related field.
  • Experience supporting community engagement, consultation, stakeholder relations, or regulatory projects.
  • Experience working with Indigenous communities or organizations is considered a strong asset.
  • Exposure to Salesforce, Power BI, or similar systems.
