Position Summary: The Project Administrator II – EPMO is responsible for moderating established EPMO and executive review meetings, compiling/distributing reporting that supports these meetings, and producing notes upon completion of meetings. This position also manages the project request process by facilitating weekly review meetings, tracking progress of requests, and submitting requests with necessary reporting for Enterprise Project Approval Committee (EPAC) review. The Project Administrator II – EPMO also works closely with and Project Managers to maintain project deliverables including procurement management and reporting. This role will include data entry, report production, project documentation maintenance, and managing of small/subprojects. Your role on the team: Develops reports and produces materials required to support project plans, including updates to project schedules, issue logging, recording meeting minutes and documenting them promptly for distribution to project team members Manages/tracks procurements in support of projects and creates Purchase Orders within the procurement management system Leads small or sub projects to GEODIS EPMO standards Coordinates weekly executive review and new business review meetings by maintaining meeting requests, producing agendas, and managing notifications; obtains information from attendees and utilizes PDF generator to combine into one document for the meetings Moderates meetings by monitoring attendees and keeping the meeting on task and on schedule; documents meeting notes Performs administrative tasks such as arranging meetings and/or conference calls, developing agendas, answering routine questions, preparing correspondence and progress reports, and participating in event coordination. Manages project requests submitted through SharePoint portal, conducts weekly review meetings with EPMO team, updates data within request, performs inquiries to multiple people throughout organization to gain project scope and work effort information, and produces required reporting for Enterprise Project Approval Committee submissions Produces weekly EPMO reporting through Project Online in preparation for weekly executive review meetings and formats data when necessary; distributes to project managers and EPMO leadership for review prior to preparing the final meeting packet Creates projects in Project Online interface for new business opportunities; creates the project schedule and maintains tasks for resource timesheet management Completes assigned criteria within Sharepoint Workflow Engine in support of new business opportunities by marking tasks complete; obtains signatures when needed and uploads required documentation Effectively communicates relevant information to Project Managers and EPMO leadership Efficiently identifies process improvement opportunities and solves issues (i.e., calendar conflicts) Updates and maintains EPMO toolkit templates What you need: •Minimum 2 years related experience and/or training (relevant internship experience will be considered); or an equivalent combination education and experience Experience with project reporting tools such as Microsoft Project PC literate with a command of Microsoft Office products including Word, Excel, PowerPoint, Outlook, Visio Ability to write detailed reports and correspondence Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form Time management/balancing multiple priorities Problem solving, analytical, and organizational skills Ability to provide clear and direct communications both verbally and in written form Adaptable to highly fast pasted and dynamic environments Excellent attention to detail and ability to manage own work Self–motivated and able to work in a team-oriented, collaborative environment What you gain from joining our team: Access wages early with the Rain financial wellness app. Free telemedical access to doctors and therapists through FirstStop Health available first day of employment!
