Project Analyst
Location: Remote

Position Summary
The Project Analyst supports the successful execution of the HRSA Organ Procurement & Transplantation Network (OPTN) program by coordinating project activities, maintaining project documentation, supporting operational processes, tracking action items and deliverables, and facilitating communication across project teams. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced federal contracting environment supporting multiple customer stakeholders.
This role serves as a key member of the program support and multi-vendor environment teams, ensuring project information, processes, and documentation remain accurate, accessible, and aligned with contractual requirements.
Key Responsibilities
Project Operations & Coordination
  • Support day-to-day project management and operational activities across multiple workstreams.
  • Coordinate meetings, prepare agendas, capture meeting minutes, and track action items through completion.
  • Maintain project schedules, trackers, and status reporting artifacts.
  • Monitor project risks, issues, decisions, and dependencies and ensure they are documented and communicated appropriately.
  • Assist with project planning activities and milestone tracking.
Documentation & Knowledge Management
  • Develop, update, and maintain standard operating procedures (SOPs), work instructions, and process documentation.
  • Maintain project repositories, SharePoint sites, and knowledge management resources.
  • Ensure project documentation is current, organized, and version-controlled.
  • Support creation and maintenance of deliverable templates and project artifacts.
Contract & Deliverable Support
  • Assist in tracking contract deliverables and due dates.
  • Support preparation, coordination, and quality review of contract deliverables.
  • Maintain deliverable logs and status reports.
  • Coordinate with technical and business teams to ensure timely submission of contractual requirements.
Stakeholder Communication
  • Support internal and customer communications.
  • Manage shared customer mailbox for communications to external vendors.
  • Prepare briefing materials, presentations, reports, and leadership updates.
  • Coordinate information requests and follow-ups with program stakeholders.
  • Facilitate communication between project teams and functional leads.
Data Analysis & Reporting
  • Collect, analyze, and report project performance metrics.
  • Maintain dashboards, trackers, and reporting tools.
  • Develop recurring reports for project leadership and customers.
  • Identify opportunities for process improvement and operational efficiencies.
Process Improvement
  • Recommend improvements to project management and operational processes.
  • Assist with implementation of new tools, workflows, and reporting mechanisms.
  • Support continuous improvement initiatives across the program.
Required Qualifications
  • Bachelor's degree in Business Administration, Public Health, Information Systems, Project Management, or related field.
  • 2-5 years of experience supporting federal projects or programs.
  • Experience coordinating cross-functional teams and project activities.
  • Strong written and verbal communication skills.
  • Demonstrated ability to develop documentation, SOPs, and process guides.
  • Proficiency with:
    • Microsoft Office Suite
    • Microsoft Teams
    • SharePoint Online
    • Excel reporting and data analysis
    • PowerPoint presentations
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and meet deadlines.
Preferred Qualifications
  • Experience supporting HHS, HRSA, or healthcare-related federal programs.
  • PMP, CAPM, CSM, or similar project management certification.
  • Experience with Power Apps, Power Automate, or Microsoft Power Platform solutions.
  • Familiarity with contract deliverable management and federal contract operations.
  • Knowledge of OPTN, transplant, healthcare technology, or public health environments.
