Overview Of The Role

We are seeking a Project and Communications Officer to support the delivery of the Alliance's programmes and activities, helping to ensure that our work is collaborative, well-coordinated, and impactful. This role offers an excellent opportunity to gain hands-on experience across programme coordination, operations and communications within a European philanthropic alliance. The successful candidate will work closely with leading philanthropic foundations, arts organisations and practitioners across Europe, contributing to initiatives that create positive social impact through the arts.

Working closely with the Senior Programme Manager, the Project Officer will contribute to the smooth running of the Alliance's work through operational, administrative, and project coordination responsibilities. Key responsibilities include providing administrative and coordination support across grants and contracts, financial and procurement processes, communications and content management, meetings and events, and the systems that underpin the Alliance's activities. As part of a small, dynamic team, the Project and Communications Officer will play an important supporting role in the delivery of the Alliance's programmes and activities, helping to strengthen the field of socially engaged arts across Europe.

The role is offered as a remote position for an initial six-month period, with the possibility of extension. Candidates must be based in the EU or the UK, with occasional travel required for meetings and events across Europe.

About The Alliance For Socially Engaged Arts

The Alliance for Socially Engaged Arts brings together leading European philanthropic foundations to champion the power of socially engaged arts in driving positive social change across Europe.

At the heart of the Alliance is its Fellowship programme, an 18-month initiative that connects and supports leaders of socially engaged arts organisations across the continent. The programme brings together around 15 leaders who are spearheading the arts to address social challenges within their communities. Through peer learning, leadership development, and access to skills, networks, and funding, the Fellowship helps strengthen organisations and expand their impact.

Alongside the Fellowship, the Alliance works to increase recognition, understanding, and support for socially engaged arts across Europe. Through advocacy, communications, research, and sector engagement, it aims to demonstrate the vital role that socially engaged arts can play in strengthening communities, fostering participation, and contributing to social change.

The Alliance is a pooled fund between 13 philanthropic foundations from across Europe, hosted by the Network of European Foundations, which provides the financial, legal, administrative infrastructure for the Programme. Each foundation is part of the Steering Committee, helping set the strategic direction of the Alliance.

Key Responsibilities

  • Grantmaking
  • Support the administration of grants throughout the grantmaking cycle, including documentation, tracking, reporting, and record-keeping
  • Monitor contractual obligations and follow up on reporting requirements and deliverables.
  • Contribute to the preparation and dissemination of open calls and support with coordinating selection processes
  • Programme financial coordination
  • Handle payment requests and expense reimbursements in line with NEF policies and procedures
  • Liaise with NEF on financial disbursements, ensuring accurate recording of expenditure and income
  • Provide administrative assistance to Fellows and partners on financial processes and requirements.
  • Contracts administration
  • Support the preparation and administration of agreements with Fellows, suppliers, and funding partners
  • Coordinate tender and procurement processes, including drafting and circulating requests for proposals and communicating with applicants
  • Liaise with NEF to support administering contracts and related documentation
  • Assist with the preparation and submission of reports to funding partners
  • Operations, logistics and events management
  • Provide operational and administrative support for meetings, workshops, events, and other programme activities
  • Prepare and coordinate meeting materials, agendas, and minutes
  • Contribute to the improvement of internal systems, data management and filing processes
  • Provide general administrative and project support across the Alliance's activities as needed
  • Communications and content management
  • Manage the Alliance's general inbox, responding to or directing enquiries as appropriate
  • Support in drafting and planning newsletters, website news and updates, social media content and other communications materials related to events and annual reports.
  • Assist with communications to Fellows, funding partners, suppliers and other stakeholders

Requirements

The ideal candidate will bring:

  • Minimum 2 years of relevant professional experience in project coordination, programme support, administration and/or financial coordination, communications, or a related role
  • Excellent organisational skills, with the ability to manage multiple tasks, priorities, and deadlines simultaneously, with strong attention to detail
  • Excellent written and spoken English, with the ability to draft clear and engaging communications for different audiences
  • Confidence using digital communication tools, including website content management systems, newsletters and social media platforms
  • A collaborative and relational way of working, with a strong ability to build and nurture productive relationships with people from a wide range of backgrounds, both in person and online
  • Ability to work independently and manage priorities within a part‑time structure
  • Proficiency with PC and MS Office applications

Desirable experience:

  • Strong interest in socially engaged arts or community-driven practice, and a good understanding of the European arts and cultural sector
  • Knowledge of, or experience working within, philanthropy, grantmaking, or the charitable and non-profit sectors in a European environment
  • Experience working across international or multi‑partner projects
  • Experience with design and producing multimedia content (video, graphic design, illustration or audio)

Benefits

  • Contract type: Six-month period, with the possibility of extension. Depending on country of residence, the successful candidate will be engaged either as an employee or freelancer. Candidates based in Belgium, France, or Germany will be offered a local employment contract. Candidates based elsewhere will be engaged as freelancers
  • Days: 3 days per week, regular working days will be agreed at the start of the contract
  • Fee: €150 gross per day. This amount represents the total fee payable to the selected candidate. Any VAT that may be chargeable under the contractor's local tax legislation must be calculated within this amount.
  • Location: Fully remote working, with occasional travel for meetings and events in Europe (approximately 2-4 trips during the contract period). Applicants must be based in the EU or the UK and have the right to travel for work without requiring visa sponsorship, as we are unable to provide immigration or visa support for this role
  • Preferred start date: October 2026, with flexibility for an earlier or later start date depending on the selected candidate's availability.
  • Reporting to: Senior Programme Manager
