Job Title: Project Coordinator Job Description The Project Coordinator serves as a key liaison between customers, internal stakeholders, and project teams to ensure utility service requests and project work are accurately initiated, tracked, and supported throughout the project lifecycle. This role focuses on coordinating project intake activities, managing project-related data, maintaining reporting dashboards, and supporting utility operations through clear communication and effective process management. The position is well-suited for a detail-oriented professional with strong organizational skills, experience coordinating projects in utility, construction, or infrastructure environments, and the ability to manage multiple workflows while maintaining data accuracy and a high standard of customer service. Responsibilities Receive, review, and process incoming project and service requests to ensure accurate and timely initiation of work. Coordinate project intake activities by collecting all required information and documentation from customers and internal stakeholders. Track project milestones, status updates, and workflow progression from initiation through completion, maintaining clear visibility into project health. Serve as a primary point of contact between customers, project teams, engineering groups, and other stakeholders to support seamless collaboration. Facilitate communication regarding project timelines, requirements, and status updates to keep all parties informed and aligned. Maintain accurate project records and databases, ensuring information is current, complete, and easily accessible. Monitor project dashboards and reporting tools to track project health and key performance indicators, and flag issues when necessary. Compile, analyze, and validate project data to ensure accuracy and completeness for reporting and decision-making. Generate recurring and ad hoc reports to support operational decision-making and provide insights to project and utility operations teams. Assist in identifying trends, bottlenecks, and opportunities for process improvement within project workflows and utility operations. Support utility service workflows related to customer requests, infrastructure projects, and operational initiatives. Utilize GIS mapping tools to verify and review location-specific project information and support planning activities. Coordinate activities related to project planning, customer communications, and departmental workflows to keep projects moving efficiently. Assist with documentation, permitting, and project records management as needed to support compliance and project completion. Communicate professionally with internal and external customers regarding project requirements, timelines, and status updates. Resolve routine project and customer inquiries, escalating complex issues to appropriate stakeholders when necessary. Collaborate with cross-functional teams to ensure projects move through established processes efficiently and meet operational objectives. Support project tracking activities, including updating dashboards, logs, and other tools used to monitor project progress. Contribute to construction and utility coordination efforts by aligning project activities with field operations and service needs. Essential Skills 3–5 years of experience in project coordination, project administration, intake coordination, utility operations, construction coordination, or a related field. Proven experience supporting project workflows and managing multiple concurrent priorities in a fast-paced environment. Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint. Strong organizational skills with the ability to manage detailed information and competing deadlines. Clear and professional communication skills, both written and verbal, for interacting with customers and internal stakeholders. Effective problem-solving skills with the ability to identify issues and propose practical solutions. Demonstrated ability to manage large datasets and maintain a high level of data accuracy. Experience working with dashboards, reports, and project tracking tools to monitor project status and performance. Ability to coordinate intake activities and support project tracking from initiation through completion. Comfort working with data entry tasks and maintaining structured records and documentation. Additional Skills & Qualifications Experience within the utility, energy, gas, electric, telecommunications, or infrastructure industries. Familiarity with utility service workflows, customer connections, or project intake processes. Experience using GIS or other mapping tools to review and verify location-specific project information. Experience working with SAP or similar enterprise resource planning (ERP) systems. Experience with Power BI for reporting and dashboard development. Knowledge of project management methodologies and best practices. Background in construction administration, construction coordination, or utility construction environments. Experience with project management practices such as project tracking, risk identification, and status reporting. Ability to collaborate effectively with cross-functional teams, including engineering, operations, and customer service. Interest in supporting engineering and sciences initiatives that advance how organizations serve their communities. Work Environment This role is based in the Greater Seattle area and requires local residency to support field and onsite activities. The position offers a primarily remote work arrangement, with the expectation that approximately 60% of your time will be spent in the field or working onsite. The standard schedule is Monday through Friday from 8:00 a.m. to 4:00 p.m., providing consistent daytime hours. You will use your own vehicle for field work and onsite visits, and mileage expenses are reimbursable in accordance with company policies. The work environment involves regular collaboration with utility and construction stakeholders, use of digital tools such as dashboards, reporting systems, GIS mapping, SAP, and Microsoft Office, and a focus on supporting critical engineering and utility operations.
