GENERAL ROLE DESCRIPTION

The Project Coordinator supports the execution of project-related technical workstreams by building, coordinating, and tracking tasks within project management systems. This role works under the direct management of the Enterprise Project Manager to translate project direction into structured, actionable plans, ensuring work is clearly defined, organized, and progressing as expected.

This position focuses on project setup, task coordination, and follow-through to support efficient delivery across systems, tools, and development-related work. The role plays a key part in ensuring projects are accurately structured from the outset and maintained throughout execution to reduce delays, confusion, and rework.


RESPONSIBILITIES/KEY PERFORMANCE AREAS:

Primary Functions

Support the execution of project-related workstreams by translating approved project direction, plans, and priorities into clearly structured and maintained project systems. The Project Coordinator builds and maintains project structures in designated project management systems, coordinates tasks and follow-up, tracks progress, maintains project documentation, and supports communication among project stakeholders.

The Project Coordinator works under the direction of the Enterprise Project Manager and supports the effective execution of project plans. The role does not hold primary responsibility for project strategy, scope, prioritization, project planning, or project management decisions. Instead, the Project Coordinator ensures that approved plans are accurately reflected in project systems and that the information, tasks, documentation, and follow-up required for execution remain organized and current.

Key Responsibilities

  1. Project Setup & Structure: Configure projects in designated project management systems using approved plans, templates, standards, dependencies, and timelines. Ensure projects are accurately and consistently configured so teams have a clear, reliable structure from which to execute their work.
  2. Project Coordination : Coordinate day-to-day activities associated with active project workstreams, including communication and follow-up with internal teammates, cross-departmental stakeholders, systems/resources, and external development partners.
    Keeps project work organized, aligned, and moving according to plan.
  3. Task Tracking & Progress Monitoring: Maintain accurate assignments, deadlines, statuses, dependencies, blockers, and next steps; identify and escalate risks or delays.
    Provides visibility into progress and prevents work from being delayed or overlooked.
  4. Communication & Follow-Up: Follow up with stakeholders, clarify established next steps, and ensure project information and decisions are documented and communicated.
    Reduces delays caused by miscommunication and keeps work moving forward.
  5. QA & Release Support: Coordinate testing, issue tracking, system updates, and release activities; escalate issues requiring technical, product, or project-management decisions.
    Supports quality and reduces the risk of errors in delivered work.
  6. Project Systems & Process Support: Maintain project systems and records, perform quality checks, and support consistent use of established project standards and processes.
    Improves consistency, reliability, and visibility across project work.
  7. Documentation Support: Maintain clear and organized documentation related to technical tasks, updates, and processes.

    Ensures continuity, consistency, and accessibility of project information.


    MINIMUM ROLE REQUIREMENTS

    1. 1–3 years of experience in coordination, administrative, or project support roles
    2. Strong organizational and time management skills
    3. Experience using project management tools (e.g., ClickUp, Asana, Monday) preferred
    4. Proficiency in standard workplace software (e.g., Google Workspace)
    5. Ability to translate high-level direction into structured tasks, timelines, and workflows
    6. Clear written and verbal communication skills
    7. Comfortable working with digital tools and systems
    8. Ability to learn and work within technical environments (no coding required)
    9. Detail-oriented with strong follow-through
