Project Coordinator – Governance & Operations
Location: Chertsey, Surrey – Hybrid
Rate: £170–£200 per day
Contract: 12 months
Working arrangement: Flexible hybrid working, up to 3 days per week in the office
Hours: 37.5 hours per week
The Role
We are looking for a highly organised Project Coordinator to join a large international organisation, supporting the delivery, governance and administration of digital and eCommerce projects across its European operations.
This is a hands-on role combining project coordination with governance and back-office operations. You will help keep projects moving by ensuring the processes behind them are completed accurately and on time.
A significant part of the role will involve invoicing, compliance, documentation, approvals and obtaining required signatures, as well as proactively following up with internal stakeholders and external partners.
You will need to be comfortable chasing outstanding actions, keeping accurate records and maintaining control of multiple processes and deadlines simultaneously.
Key Responsibilities
- Coordinate and track internally delivered and partner-led projects from initiation through to completion.
- Manage day-to-day project administration and back-office processes.
- Support invoicing and financial administration, ensuring the correct documentation and approvals are in place.
- Manage compliance, governance and project documentation, ensuring required processes are followed.
- Coordinate approval and signature processes, proactively chasing stakeholders where required.
- Follow up on outstanding actions, documentation and approvals across internal teams and third-party suppliers.
- Maintain accurate project records and ensure documentation is complete and up to date.
- Monitor project progress and highlight potential risks, issues and dependencies.
- Support quarterly business reviews with key delivery partners.
- Help ensure projects and suppliers operate in line with contractual and compliance requirements.
- Build and maintain strong relationships with internal stakeholders and external partners.
- Support the wider PMO with improving project processes, governance and documentation.
- Manage multiple projects, deadlines and administrative workstreams simultaneously.
Skills & Experience
We are looking for someone with experience across project coordination, governance and back-office operations.
You should have:
- 2+ years' experience within project coordination, project management or a PMO environment.
- Experience managing project administration and back-office processes.
- Experience with invoicing, financial administration or associated project finance processes.
- Experience managing compliance, documentation, approvals and sign-off processes.
- Confidence proactively chasing stakeholders and suppliers for outstanding actions, information and signatures.
- Excellent organisation and attention to detail.
- Strong stakeholder management and communication skills.
- Experience managing multiple deadlines and competing priorities.
- Experience working with cross-functional teams and external partners or vendors.
- Strong analytical and problem-solving skills.
- The ability to work independently and take ownership of tasks through to completion.
Desirable Experience
- Digital, eCommerce or retail project experience.
- Exposure to Agile/Sprint-based project delivery.
- Experience using JIRA or similar project management tools.
- Vendor or supplier management experience.
- Managed services or development project experience.
- Experience within a large international organisation.
- Experience working across European markets.
- Additional European language skills.
