Project Coordinator, Office of the Vice-President Research

Summary:

The project coordinator leads the successful delivery of the Story Collider project by coordinating post-award activities, leading project administration, and overseeing financial, operational, and milestone progress. This position handles project budgets, tracks deliverables, identifies risks, and facilitates the resolution of issues that may affect project outcomes. This role coordinates a range of project functions, including reporting, communications, meetings, partnerships, and records management. This position works closely with internal and external stakeholders, funding agencies, and project partners to facilitate project activities and maintain accountability. The project coordinator also develops budget justifications, reports, and scope change documentation while supporting ongoing project planning and implementation.

Duties and Responsibilities:

  • Develops, monitors, manages, maintains, and coordinates the Story Collider project budget.
  • Identifies emerging issues and changes and collaborates with the project team to develop solutions that mitigate risks and support project outcomes.
  • Maintains financial and milestone accountability for the project schedule, monitors progress toward objectives and supports timely and fiscally responsible project delivery.
  • Controls and allocates project resources to the appropriate outlet and tracks usage.
  • Coordinates administrative functions of the project, including human resources throughout the employee life cycle, communications, management meetings, conferences, partner relationships, and intellectual property activities.
  • Develops and executes the project Story Collider business plan and execution through research, stakeholder engagement, and planning activities on a year-to-year basis.
  • Develops budget justifications, annual reports, and scope change documentation to support project requirements and funding obligations.
  • Coordinates governance activities, including planning and facilitating leadership and committee meetings, preparing materials, managing communications, documenting outcomes, and tracking action items.
  • Cultivates relationships, facilitates collaboration, and communicates with project partners, collaborators, stakeholders, academics, and committees involved in the project.
  • Handles and maintains project records using institutional systems and databases, tracks project activities, and supports audit and reporting requirements.
  • Coordinates the preparation and submission of reports, meeting minutes, summaries, and related project documentation while monitoring key deadlines.
  • Creates avenues for engagement and acts as a liaison with university administration, project partners, and external organizations to coordinate project activities, facilitate reporting and communications, and foster effective working relationships.
  • Provides proactive administrative and project support to project leadership and principal investigators.
  • Communicates and acts in a respectful and professional manner, collaborates effectively, abides by policy, and contributes to a positive and productive work and learning environment.
  • Engages in continuous learning by participating in activities, training, and events related to Indigenous engagement, reconciliation, equity, diversity, and inclusion.
  • Demonstrates respect and dignity for all members of the community, actively contributes to an environment of acceptance and inclusion of others, and responds to different perspectives from a place of curiosity, respect, and non-judgement.
  • Undertakes related duties, as assigned, consistent with the nature of the position.


Qualifications:

  • A bachelor’s degree in accounting, finance, project management, or a related field.
  • Project Management Professional (PMP) certification is an asset.
  • Minimum of four years of related experience in project coordination.
  • Familiarity with Background in creative design and technology is an asset.
  • Knowledge of the Canadian research and innovation environment.
  • Knowledge of academic and research funding programs, processes, and requirements.
  • Ability to develop reports, budget justifications, and project documentation.
  • Effective interpersonal and communication skills.
  • Ability to assess risks, monitor project progress, and support issue resolution.
  • Strong project management, budgeting, financial analysis, and post-award administration skills.
  • High attention to detail and accuracy.
  • Ability to work effectively both independently and collaboratively in a team.
  • Strong strategic thinking, sound judgement, and problem-solving abilities.
  • Effective organizational skills and the ability to manage multiple priorities.
