Project Coordinator - Water & Environment

Ulteig and its affiliated companies are hiring a Project Coordinator for the Water & Environment (W&E) department. At Ulteig, the Project Coordinator plays an integral role in supporting the day-to-day management of the department and execution of projects. This role involves administrative responsibilities and a focus on financial reporting, analysis, and process change. Water & Environment leads some of the most innovative technology-driven projects across our industry.

What You’ll Do
Scheduling & Cost Planning
- Partner closely with Water & Environment leadership and Project Managers to support the planning, coordination, and ongoing management of project schedules, budgets, staffing plans, and financial performance expectations across the department.
- Develop, maintain, and communicate recurring project controls information, including schedule updates, budget tracking, workload forecasts, burn-rate analysis, and financial performance summaries that help leadership and Project Managers make timely, informed decisions.
- Provide hands-on support to Project Managers by helping organize project set up information, monitor key milestones and deliverables, track budget-to-actual performance, and identify where additional coordination, follow-up, or escalation may be needed.
- Proactively review project data to identify trends, variances, resource constraints, schedule risks, and potential cost concerns, then work with leadership and Project Managers to frame practical options for mitigation, adjustment, or further review.
- Support department-level planning by consolidating schedule, staffing, and cost information across projects to improve visibility into upcoming workload, project health, resource needs, and potential gaps that may affect delivery.
- Assist leadership and Project Managers in preparing clear project status updates, financial narratives, and decision-support materials for internal discussions, client coordination, and regular management review.
- Help strengthen project delivery practices by promoting consistent use of scheduling, budgeting, forecasting, and reporting processes that align with Ulteig governance expectations and support successful project execution.
Department Growth
- Develop, implement, and maintain key performance indicators (KPIs), dashboards, and reporting frameworks to measure operational performance and support data-driven decision making.
- Support organizational growth initiatives including operational rollouts, change management activities, resource planning, and implementation of new systems, tools, and technologies.
- Analyze operational workflows and business processes, identify opportunities for improvement, and lead implementation of standardized procedures that increase efficiency and consistency.
- Lead business process optimization initiatives utilizing data analysis, performance metrics, and continuous improvement methodologies to improve operational effectiveness.
- Lead the evaluation and implementation of innovative technologies, including artificial intelligence (AI), data analytics, and automation solutions, to improve project delivery, operational efficiency, and business performance.
Project Coordination & Administration
- Serve as a coordination resource for Water & Environment leadership and Project Managers by supporting day-to-day project administration, helping organize priorities, tracking follow-up items, and ensuring project information is communicated clearly across internal teams.
- Facilitate communication among Project Managers, technical staff, leadership, and cross-functional support teams to help maintain alignment on project status, upcoming deadlines, client needs, internal deliverables, and administrative requirements.
- Provide proactive administrative and operational support to Project Managers, including meeting coordination, action item tracking, documentation support, project file organization, and follow-through on delegated project responsibilities.
- Support the development, refinement, and distribution of regular project progress reports, custom reports, leadership updates, and other project documentation that provide visibility into project health, delivery progress, and key areas requiring attention.
- Help identify opportunities to improve project coordination workflows, standardize recurring administrative processes, and strengthen communication practices across the department to support more consistent project delivery.
- Assist leadership and Project Managers with implementing process improvements, technology-enabled workflows, and AI-supported coordination tools that reduce administrative burden, improve follow-up, and enhance the accuracy and usefulness of project information.

- Proactively identify work assignments that need to be completed
- Build relationships with Water & Environment leadership to foster communication and trust
- Adhere to Ulteig governance policies and procedures for project success
- Additional duties may include tasks beyond what is listed, such as special projects, assisting colleagues, or new initiatives. A willingness to adapt to changing priorities and support team efforts enhances collaboration and growth opportunities.
What We Expect from You
- Bachelor’s degree in business administration, Project Management, Engineering, Environmental Science, Natural Resources, or equivalent experience. Master’s degree a plus.
- 1 year of experience in project administration or a related role, preferably working on engineering or planning projects
- Demonstrated proficiency in Microsoft Office Suite, including advanced capabilities in Excel and Power BI.
- Experience with Microsoft Project (MS Project) is preferred.
- Strong analytical and problem-solving skills
- Demonstrates understanding of project management principles, project financials, and project controls.
- Demonstrates openness to innovation by embracing and applying evolving technology and AI tools to enhance workflows, solve problems, and drive continuous improvement.
- Ability to work in a hybrid schedule: 3 days in the office, 2 days from home.
- Must possess strong verbal and written English communication skills (CEFR level B2–C1). You should be comfortable articulating complex ideas and collaborating effectively within a global professional environment.
- Must have authorization to work legally in Costa Rica for any employer.
