Job Summary

Under the direction of the C2R2 Operations Manager, the Project Manager is responsible for coordinating and executing assigned projects within the C2R2 portfolio. The role ensures that project activities are delivered on time, within scope, and aligned with funding requirements and coalition objectives.

The incumbent is responsible for managing day-to-day project coordination, including timelines, deliverables, stakeholder communication, and monitoring project progress across multiple institutions. The role supports financial tracking and reporting by monitoring expenditures, identifying variances, and coordinating with the Operations Manager and Financial Planning Analyst to ensure alignment with approved budgets and funding requirements.

The Project Manager works collaboratively with internal staff, coalition partners, and external stakeholders to support effective project delivery and consistent implementation of program activities.

What you’ll be doing:

Project Coordination, Delivery & Reporting

  • Coordinate the execution of multiple concurrent projects across a national, multi-institutional environment, ensuring alignment with defined project plans, timelines, deliverables, and funding requirements.
  • Develop, maintain, and update detailed project schedules, tracking tools, and work plans to monitor progress, identify delays, and ensure accountability for deliverables across all stakeholders.
  • Coordinate project activities across internal teams, external institutions, vendors, and service providers, ensuring consistent implementation of project requirements and timelines.
  • Identify, assess, and monitor project risks, issues, and dependencies; implement mitigation strategies within established processes and escalate complex risks to the Operations Manager.
  • Maintain comprehensive and organized project documentation, including project plans, tracking tools, communication records, and audit-related materials, ensuring readiness for internal and external review.
  • Support the operational setup of new projects, including establishing project tracking tools, file structures, and coordination processes in alignment with frameworks established by the Operations Manager.
  • Collect and maintain day-to-day project status updates from participating institutions and other project stakeholders, including progress against project plans, timelines, deliverables, milestones, risks, issues, dependencies and outstanding actions.
  • Review and validate project status information, including timelines, deliverables, milestones and supporting documentation, for completeness and accuracy from a project-delivery perspective prior to providing relevant information to the Reporting & Administrative Coordinator.
  • Ensure project activities, deliverables and institutional updates are completed in accordance with established project and reporting timelines, and coordinate with the Reporting & Administrative Coordinator to support formal reporting requirements.
  • Follow up with participating institutions and other stakeholders regarding incomplete, delayed or inconsistent project-status information, deliverables and outstanding actions, and support the Reporting & Administrative Coordinator in resolving project-related gaps identified through the formal reporting process.
  • Lead regular project update meetings with participating institutions to assess implementation progress, review timelines and deliverables, identify emerging risks or issues, confirm upcoming requirements, and ensure follow-up on agreed actions.

Stakeholder & Partner Coordination

  • Act as the primary point of contact for day-to-day project management and coordination with coalition partners, member institutions, and stakeholders regarding project implementation, timelines, deliverables, milestones and requirements.
  • Conduct regular follow-ups with stakeholders to monitor implementation progress, confirm completion of deliverables and milestones, identify emerging risks or delays, and coordinate appropriate corrective actions within established project parameters.
  • Lead project update meetings and working sessions with participating institutions and other stakeholders, including establishing project-focused agendas, reviewing implementation progress, documenting decisions and action items, and ensuring follow-up on commitments. Formal reporting content and project metrics remain the responsibility of the Reporting & Administrative Coordinator.
  • Support the resolution of project-related issues by identifying challenges, coordinating responses across stakeholders, and escalating complex or sensitive issues to the Operations Manager.
  • Maintain ongoing working relationships with vendors, partners, and service providers to ensure project deliverables are met in accordance with agreements and timelines.

Financial Operations & Support

  • Monitor project expenditures against approved budgets, including purchase orders, invoices and project-specific costs, and provide project-related information to support financial tracking by the Operations Manager.
  • Monitor purchase order balances and project budgets, identifying and flagging variances, risks, or discrepancies to the Operations Manager.
  • Review vendor invoices from a project-delivery perspective to confirm that invoiced activities or deliverables align with approved project scope and completed work. Financial processing and approval remain outside the Project Manager's authority.
  • Monitor member institution project activity and reported spending against approved project budgets to identify potential underspending, overspending or other financial risks, and escalate identified concerns to the Operations Manager for review and direction.
  • Provide project-status information and coordinate with the Financial Planning Analyst, as required, to support alignment between project activities, expenditures and financial forecasts under the direction of the Operations Manager.
  • Support the preparation of financial tracking summaries and documentation for review by the Operations Manager (does not include budget ownership or financial approvals).

Administrative & Operational Support

  • Maintain structured and organized project files, documentation, and shared drive systems to support transparency and audit readiness.
  • Support coordination of meetings and working sessions, including logistics such as scheduling, materials preparation, and stakeholder communication (does not include ownership of overall calendar management).
  • Assist with project onboarding activities, including coordination of stakeholders, documentation setup, and initial project communications.
