The Opportunity

Within Aeroflow, our Urology team works across Operations, Call Center, Billing, Customer Experience, Technology, and Leadership to improve how we serve our patients and scale a rapidly growing business.

We are seeking a Project Manager who can bring structure, accountability, and momentum to important operational initiatives across the business.

This is not a role for someone who needs a perfectly defined process before getting started. Our environment moves quickly, priorities can change, and the best solution isn't always the most complicated one. Sometimes the right answer is improving the process we already have rather than replacing it entirely.

We need someone who is naturally curious, exceptionally organized, and willing to get into the details. Someone who sees something falling through the cracks and catches it. Someone who asks the extra question, follows up when others forget, and can take a messy problem and turn it into clear next steps.

You don't need to arrive knowing every Aeroflow system or having mastered every project management methodology. We can teach tools and processes. What is much harder to teach is curiosity, ownership, adaptability, organization, and relentless follow-through.

Your Primary Responsibilities

This role is responsible for bringing structure, accountability, and momentum to cross-functional operational initiatives from idea through execution.

Drive Projects & Operational Initiatives
  • Partner with operational leaders and subject matter experts to understand priorities and translate them into clear, actionable plans.
  • Coordinate initiatives across Operations, Call Center, Billing, Customer Experience, Technology, Leadership, and other stakeholders.
  • Support operational rollouts, process improvements, system implementations, and other key business initiatives.
  • Take projects from an ambiguous starting point through execution, keeping work moving even as priorities evolve.
Create Clarity & Accountability
  • Establish clear ownership, priorities, timelines, dependencies, and next steps.
  • Facilitate project meetings and working sessions that result in clear decisions and action.
  • Follow up consistently with stakeholders to ensure commitments are completed and important details don't fall through the cracks.
  • Maintain practical project plans, action items, documentation, and status updates that create visibility without unnecessary process.
Solve Problems & Improve How Work Gets Done
  • Get into the details of existing workflows to understand how work is actually being done before recommending changes.
  • Proactively identify risks, blockers, inefficiencies, and opportunities for improvement.
  • Work directly with stakeholders to resolve issues and keep initiatives moving.
  • Recommend practical, iterative improvements rather than defaulting to large-scale process changes.
  • Adapt project management approaches and tools to the needs of the business rather than forcing every initiative into the same methodology.
Build Alignment Across Teams
  • Serve as a central point of coordination across teams with different priorities, personalities, and ways of working.
  • Build trusted relationships and influence outcomes without relying on formal authority.
  • Communicate progress, risks, decisions, and outcomes clearly to both technical and non-technical stakeholders.
  • Help teams navigate competing priorities while maintaining momentum and strong working relationships.
  • Maintain HIPAA/patient confidentiality and compliance with applicable laws, regulations, and company policies.
  • Maintain regular and reliable attendance as assigned.
  • Perform other job duties as assigned.

Required Qualifications
  • 3+ years of experience in project management, program coordination, implementation, operations, account/client management, agency project management, or another role requiring significant cross-functional coordination.
  • Demonstrated ability to organize multiple priorities, stakeholders, deadlines, and competing demands.
  • Experience taking projects or operational initiatives from an unclear starting point through execution.
  • Demonstrated ability to build relationships and influence outcomes without direct authority.
  • Strong organizational skills and exceptional attention to detail and follow-through.
  • Excellent verbal and written communication skills.
  • Ability to work effectively in fast-moving environments where priorities and processes may evolve.
  • Strong problem-solving and critical-thinking abilities.
  • Ability to learn new systems, tools, and business processes quickly.
  • Proficiency with common business, documentation, reporting, and collaboration tools.
You Might Also Have
  • Project management experience within an agency, e-commerce, startup, or other fast-moving environment where you managed multiple clients, projects, or priorities simultaneously.
  • Experience working between business and technical teams and translating needs across both groups.
  • Experience in healthcare, DME, payer, revenue cycle, insurance, call center, or customer operations.
  • Experience supporting operational transformations, process improvements, or system implementations.
  • Experience working within rapidly growing organizations.
  • Exposure to Jira, Confluence, Asana, Monday.com, Smartsheet, or similar tools.
  • PMP, CAPM, Agile, Scrum, Lean, or related certifications.
