Location: Manchester or London, hybrid About the role We’re looking for multiple project operations coordinators to support the smooth, accurate set-up, maintenance and closure of projects across our medical communications teams. In this centralised operational role, you’ll help project managers keep workfront project data accurate, complete and up to date, enabling stronger planning, clearer reporting and better project outcomes. You'll work closely with project managers, resource managers, function leads, project finance and delivery teams, ensuring approved project decisions are reflected accurately in workfront while project managers remain focused on client relationships, delivery leadership, quality, risk and outcomes. This is a junior level role that offers a clear development pathway within our project management function, making it an excellent opportunity for someone looking to build deeper project management, operational excellence and stakeholder management expertise within a global healthcare communications business. You'll also have the opportunity to explore and utilise approved AI and emerging technology tools as part of your day-to-day work. What you'll do Manage project set-up and amendment requests through a central ticketing process, checking that approved SOWs, deliverables, hours, dates and planning information are ready before set-up begins. Build and maintain detailed workfront project plans, including deliverables, tasks, roles, planned hours, dates, milestones, dependencies, workflows, approvals and documentation. Support resource readiness by ensuring tasks have the right roles, planned hours and dates, and by highlighting gaps in upcoming demand to the right teams. Keep workfront plans accurate throughout delivery by updating approved changes to tasks, dates, hours, dependencies, assignments and project information. Support project closure administration and help maintain templates, task libraries and project checklists. Use project data to identify recurring issues, data-quality risks and opportunities to simplify, standardise and improve ways of working. Use approved generative AI or equivalent business tools to improve productivity, create guidance and checklists, and identify repetitive processes that could be standardised or automated. About you Have some experience in project coordination, project operations, project management support, workflow coordination or similar. Confident using project or work-management platforms such as adobe workfront. Bring strong organisation, accuracy and attention to detail, with the ability to manage multiple requests and competing priorities. Comfortable working with project data, reports, dashboards and microsoft excel, and have an interest in continuous improvement, automation and operational efficiency. Strong communication skills to confidently collaborate with colleagues across project management, client service, finance, resource management and delivery teams. Previous experience in medical communications, healthcare communications, marketing, creative services or another project-based environment would be highly advantageous.
