Position Summary
The Project & Services Coordinator supports the successful transition, administration, execution, and closeout of professional services projects. Once a client has decided to proceed with a project, this role helps move the engagement from order through execution by coordinating with the InSource sales team, delivery resources, and client stakeholders.
The Project & Services Coordinator works with internal and client teams to understand project schedules and resource requirements, align appropriate professional services resources, establish project infrastructure, and communicate execution plans to the appropriate stakeholders.
Throughout project execution, this role tracks progress and helps maintain accurate time, financial, resource, and performance data within InSource systems. Following project completion, the Project & Services Coordinator supports project closeout, performance reporting, invoicing coordination, and the transition of relevant information to other InSource teams to maintain continuity in the client experience.
Success in this role requires strong attention to detail, excellent interpersonal and communication skills, analytical thinking, effective resource coordination, and a desire to continuously develop a diverse operational and technical skill set. This position also provides an opportunity to build experience that can support progression into more advanced project management responsibilities over time.
Key Responsibilities
- Project Setup and Administration: Work collaboratively with internal and client project resources to establish, organize, and administer professional services projects.
- Sales-to-Delivery Handoff: Engage clients and internal teams, including Sales, Client Services, and Delivery, to ensure the timely and effective transition of projects from Sales to Delivery.
- Project Planning and Resource Coordination: Work with project stakeholders to understand schedules, resource requirements, and required skill sets. Coordinate with the professional services team to align appropriate resources for project execution.
- Project Infrastructure and Communication: Establish required project infrastructure and communicate execution plans, schedules, responsibilities, and relevant project information to internal and client stakeholders.
- Project Tracking and Data Quality: Monitor project progress and help ensure the accuracy and quality of time, financial, labor, resource, and other project data maintained within company information systems.
- Resource Allocation and Forecasting: Maintain Services Resource Allocation and Forecast schedules to support effective planning and utilization of professional services resources.
- Invoicing Coordination: Work with Delivery Managers and Client Services to ensure services orders are invoiced in accordance with contract terms and project completion requirements.
- Project Closeout: Coordinate with clients and internal teams to support the timely and effective closure of completed projects.
- Delivery-to-Client Success Handoff: Coordinate the transition of completed engagements from Delivery to Client Success when applicable, helping maintain continuity in the overall client experience.
- Client Satisfaction Support: Work with the Client Experience team to assemble and review results from Client Satisfaction surveys and follow-up calls associated with completed projects.
- Estimating and Proposal Support: Work with Delivery Managers and the Sales team to facilitate project estimating and proposal generation.
- Services Performance Reporting: Maintain performance reporting for professional services activities and provide accurate information to support operational and management decision-making.
- Reporting and Analysis: Run and analyze financial, labor, and resource reports and use the resulting information to support continuously improving project and resource-management decisions.
- Process Improvement: Identify opportunities to improve project administration, reporting, resource coordination, and related services processes.

- Familiarity with manufacturing and industrial environments is preferred.
- Experience with NetSuite ERP is preferred.
- Experience with Smartsheet project management software is preferred.
Experience and Education
- Bachelor's degree from a four-year university, preferably in a technical discipline, or an equivalent combination of demonstrated skills, education, and relevant work experience.
- 2–5 years of relevant professional experience.
- Professional services-based administrative or project coordination experience.
- Demonstrated experience running, analyzing, and improving financial, labor, and resource reports.
- Demonstrated analytical, critical-thinking, and troubleshooting experience.
- Experience supporting project setup, resource coordination, project tracking, or project closeout activities is preferred.
- Experience supporting estimating, proposal development, invoicing, or services operations is beneficial.
- Experience training others and supporting team development is preferred.
- No direct supervisory responsibility.
- Ability to work in a general office or home-office environment and participate in video meetings as required.
- Ability to perform work that may involve standing, walking, climbing stairs, light lifting, sitting, and occasional exposure to elevated noise levels.
- Ability to travel occasionally for business as required.
