REPORTS TO: Associate Director of Accounting-Property Management

DEPARTMENT: Accounting

STATUS: Regular, Full time

SCHEDULE: Hybrid work arrangement with in-office presence determined by management and business needs, including meetings and travel requirements.

SUMMARY

Under the supervision of the Associate Director of Accounting - Property Accounting, the Property Accountant is responsible for full-cycle accounting of a portfolio of properties. This includes all rental transactions, month-end closing, general ledger account analysis, reconciling interfund accounts, financial reporting, reconciling bank accounts, performing internal audits, preparing audit schedules and other related accounting duties of the organization.


ESSENTIAL DUTIES

Full Cycle Accounting

The Property Accountant is responsible for the accurate and timely accounting of all financial activity for an assigned portfolio of properties. This role oversees month-end close activities, account reconciliations, balance sheet integrity, rent billing, and adherence to established accounting policies and internal controls.

  • Ensure all recurring transactions and month-end closing entries are accurately recorded for the assigned portfolio, including depreciation, amortization, accruals, vacancy, allowance for bad debt, intercompany fees, cash activity, and other required adjustments. Ensure entries are completed in a timely manner and supported by appropriate documentation.
  • Review recurring journal entries prepared by other accounting team members for accuracy, completeness, and appropriate accounting treatment. Identify discrepancies and coordinate corrections as needed.
  • Ensure all journal entries contain adequate supporting documentation and meet established documentation and internal control requirements.
  • Complete monthly bank reconciliations and maintain supporting reports in accordance with established procedures. Investigate and resolve reconciling items, including uncleared items outstanding for more than 90 days.
  • Reconcile property subledgers to the General Ledger each month, including tenant receivables, subsidy receivables, accounts payable, tenant prepaids, and security deposits. Investigate discrepancies, coordinate resolutions, and ensure appropriate adjustments are recorded.
  • Maintain reconciliation schedules for all General Ledger Balance Sheet accounts to support accurate financial reporting and year-end audit readiness. Ensure schedules are current, complete, and adequately supported.
  • Monitor rent roll and billing reports and collaborate with Compliance and Property Management to ensure rent charges are accurate and consistent with Gross Potential Rent expectations. Investigate significant variances and coordinate corrective action when needed.

Financial Statement Preparation and Analysis

The Property Accountant is responsible for preparing and reviewing property-level financial statements and reporting packages and for analyzing financial results. The role provides meaningful financial information to Property Operations, Asset Management, and Accounting leadership to support operational oversight and informed decision-making.

  • Prepare accurate monthly financial statements and related reporting packages in accordance with established accounting standards, policies, and deadlines.
  • Review financial reports for completeness, accuracy, unusual activity, and significant changes. Research identified issues and coordinate with appropriate teams to resolve discrepancies.
  • Analyze actual financial results against approved budgets and investigate material variances. Obtain explanations from Property Operations and other accounting teams and ensure variance commentary is accurate, complete, and properly documented.
  • Record and document reclassification of journal entries required to correct accounting errors or appropriately classify financial activity. Ensure all adjustments are supported and recorded in the appropriate period and accounts.
  • Prepare monthly, quarterly, and annual financial reporting packages and ensure all required schedules, analyses, and supporting documentation are included. Deliver reports in accordance with established deadlines and formats.
  • Provide ad hoc financial analysis and reporting to support management, Asset Management, Property Management, and other internal stakeholders. Translate financial data into clear and useful information to support operational and financial oversight.

Accounts Receivable

The Property Accountant oversees and provides backup support for key accounts receivable processes across the assigned portfolio. This role promotes accurate and timely processing of receipts, tenant account activity, move-outs, refunds, and receivable balances while supporting coordination among Accounting, Property Management, and Compliance.

  • Oversee and support the posting of tenant rent receipt batches, including electronic transactions processed through Yardi CheckScan and manually entered receipts. Review activity for accuracy and completeness and resolve or escalate posting issues as appropriate.
  • Oversee and support tenant move-out accounting to ensure accurate and timely processing of refunds. Verify tenant account balances and related activity and ensure transactions are processed in accordance with applicable regulations and company procedures.
  • Oversee and support the posting of corporate office receipt batches, including consolidated subsidy receipts and other non-tenant receipts. Ensure receipts are accurately allocated to the appropriate properties, accounts, and periods.
  • Monitor tenant receivable aging and delinquency reports to identify significant or emerging issues. Coordinate with Property Management and Compliance to research discrepancies and address outstanding balances.
  • Monitor excessive tenant prepaid balances and ensure amounts are appropriately applied or otherwise resolved. Investigate unusual balances and coordinate corrective action with the appropriate teams.
  • Provide cross-training and backup coverage for accounts receivable processes to ensure continuity during staff absences, periods of increased activity, and other operational needs.

Audit Support

The Property Accountant serves as a key accounting resource throughout the annual financial statement audit process. The role is responsible for coordinating audit deliverables, researching accounting matters, responding to auditor requests, and ensuring financial records and supporting documentation are complete and accurate.

  • Prepare year-end trial balances and supporting schedules for assigned properties. Review balances for completeness and accuracy and resolve outstanding accounting issues prior to the audit.
  • Prepare, coordinate, and track Prepared by Client (PBC) schedules and supporting documentation. Monitor outstanding requests and ensure deliverables are completed within established audit timelines.
  • Respond to auditor inquiries and follow-up requests by researching transactions, preparing explanations, and providing appropriate supporting documentation.
  • Research unusual transactions and open audit items and coordinate with internal teams to determine appropriate accounting treatment and resolution. Document conclusions and provide information necessary to support the audit.
  • Record approved final audit adjustments and ensure all adjustments are accurately reflected in the property accounting records. Confirm that internal year-end financial statements agree with the final published audited financial statements.

Other Duties

The Property Accountant supports the overall integrity of property accounting operations by maintaining internal controls, protecting confidential information, and supporting regulatory and tax compliance. The role also collaborates across departments to resolve accounting matters, improve processes, and respond to evolving organizational needs.

  • Ensure established internal controls, accounting policies, and procedures are consistently followed across property accounting activities. Identify control weaknesses and communicate concerns or recommended improvements to appropriate management.
  • Protect confidential tenant, employee, property, and financial information in accordance with company policies and applicable requirements. Exercise appropriate judgment in the handling, storage, and communication of confidential information.
  • Support compliance with municipal, state, and federal regulations, including applicable tax and licensing requirements. Responsibilities include, but are not limited to, preparing business property tax statements such as 571-L filings and supporting business license applications.
  • Escalate unusual transactions, control weaknesses, compliance concerns, and other matters requiring management attention. Provide appropriate documentation and support to facilitate timely resolution.
  • Collaborate with Asset Management and Property Management to identify and resolve general accounting issues and provide financial information or reporting needed to support property operations and management objectives.
  • Perform other related duties as assigned and adapt to changing organizational priorities. Participate in cross-functional initiatives and provide support to the Finance and Accounting team as needed.
  • All other duties as assigned

Qualifications

REQUIRED SKILLS

Knowledge and skills:

  • Strong knowledge of Generally Accepted Accounting Principles (GAAP) and the ability to apply accounting standards, policies, and procedures to property-level and consolidated financial transactions and reporting.
  • Strong knowledge of account analysis, reconciliations, and financial statement preparation, including the ability to analyze general ledger activity, identify variances or discrepancies, and resolve issues accurately and efficiently.
  • Strong analytical and problem-solving skills, with the ability to interpret financial information, investigate unusual transactions, identify trends, and develop practical solutions to complex accounting issues.
  • Excellent written, verbal, and interpersonal communication skills, with the ability to clearly explain accounting concepts and financial information to both accounting and non-accounting staff, including Property Management and external stakeholders..

  • Ability to follow established policies, procedures, and directions while exercising sound independent judgment, knowing when to resolve issues independently and when to escalate matters to the Controller or appropriate leadership.
  • Ability to maintain confidentiality and exercise sound professional judgment when handling sensitive financial, employee, tenant, and organizational information.

Physical Requirements:

MINIMUM QUALIFICATIONS

  • Bachelor’s degree in business, finance or accounting.
  • At least four (4) years of accounting experience in multifamily property accounting.
  • Strong understanding of General Accepted Accounting Principles
  • Technical knowledge of all accounting functional areas, financial statements and account analysis.
  • Experience preparing for an audit and working with external auditors.
  • Proficiency in Microsoft Office 365 applications, including Excel, Word, Outlook, Teams, SharePoint, and OneDrive, with the ability to use these tools to prepare documents, manage data, communicate effectively, collaborate with team members, and maintain organized electronic files and records.
  • Must be experienced and highly skilled in Excel & MS word.

PREFERRED QUALIFICATIONS

  • Experience with affordable housing accounting practices, tax credits and subsidy programs.
  • Proficiency in Yardi Voyager (or similar property management/accounting software).
