Role: Property Operations Coordinator
Location: Remote (South Africa)
Type: Full-time (long-term role)
Working Hours: UK Business hours with some weekend flexibility
Salary: R18,000 to R29,000 pm, depending upon experience.
We're looking for a highly organised, proactive and confident communicator to become a central part of our property operations team; coordinating people, properties and processes while helping ensure opportunities move quickly from enquiry through to completion.

We're looking for a highly organised, proactive and confident communicator to become a central part of our property operations team.
Your job is ultimately about helping to keep people, properties and processes moving.
You'll coordinate activities across different stages of our property acquisition and sales process.
Arranging appointments and property access, gathering information organising documentation, communicating with stakeholders, obtaining signatures, updating systems and following up outstanding actions.
You'll also spend designated periods supporting our seller lead-management function. This means picking up the phone, speaking with new sellers, asking good questions, understanding their circumstances and arranging the appropriate next step.
This is therefore not a traditional back-office admin position.
We're looking for someone who is organised and comfortable communicating with people.
Someone who is naturally inquisitive.
Someone who notices when something hasn't happened.
Someone who is prepared to pick up the phone rather than sending another email.
And someone who takes responsibility for getting a task from started → followed up → completed.
Property experience is helpful, but communication, organisation, initiative and attitude are more important.
If you are not dependable, coachable, or detail-oriented, this role will not be a good fit.
Property Operations & Coordination
You'll help ensure our day-to-day property operations run smoothly.
This will include:
- Coordinating appointments, meetings and property access.
- Liaising with sellers, buyers, agents, contractors and other stakeholders.
- Gathering and organising key property information and documents.
- Following up outstanding information and actions.
- Arranging digital and physical signatures.
- Maintaining accurate property records, CRM records and internal systems.
- Managing calendars, appointments and relevant inboxes.
- Creating and updating website/portal property listings where required.
- Coordinating access to properties for internal and external stakeholders.
- Supporting the preparation of property marketing/investment information.
- Providing backup support for sales progression once properties enter conveyancing.
- Supporting the wider team with property-related operational and administrative tasks.
Importantly, we don't want someone who simply records that something hasn't happened.
During specific days/times of the week, you'll help manage new enquiries from property owners interested in selling.
You'll be responsible for:
- Calling new leads promptly.
- Creating a professional and friendly first impression.
- Building rapport.
- Asking appropriate questions to understand the property and circumstances.
- Qualifying opportunities according to our criteria and processes.
- Booking appointments for appropriate opportunities.
- Following up prospects by telephone, email and other communication channels.
- Accurately recording conversations, information and next actions within our CRM.
- Ensuring opportunities don't get lost through poor or slow follow-up.
You don't need to be a pushy salesperson.
We're looking for someone who is warm, confident and inquisitive; someone who cares about people and can have a natural conversation, ask good questions, listen properly and confidently move the conversation towards the appropriate next step.
As part of this varied role, you'll be asked to carry out research and analysis to help the team make better decisions and identify new opportunities.
The subject of that research will vary depending on what the business needs at the time.
This could include:
- Researching properties using platforms such as Rightmove, Zoopla and other online sources.
- Comparing properties, prices, rents and other relevant market information.
- Gathering and organising information required for property investment packs.
- Researching new software, systems and technology that could improve how we operate.
- Identifying and researching potential builders, contractors, suppliers and other external partners.
- Comparing potential suppliers, services or solutions and summarising the advantages, disadvantages and costs.
- Conducting online research to support new projects or business initiatives.
- Turning research into clear findings and recommendations, rather than simply providing a collection of links or information.
- Completing other ad-hoc research and analysis requested by the team.
You won't be expected to know the answer to everything.
What is important is that you're naturally inquisitive, resourceful and comfortable investigating something you haven't encountered before.
If you're given a question or problem, we'd like you to be someone who can understand what's being asked, research it thoroughly, organise the information and come back with a clear:
“Here's what I found, here's what I think is relevant, and here's what I recommend we look at next.”

Desirable
- Previous experience in property/real estate
- Experience speaking with leads, prospects or customers by telephone
- Property administration or transaction coordination experience
- Basic exposure to property valuations, underwriting, or deal analysis
- CRM system experienceUnderstanding of UK terminology or processes
For the right person, we can teach property knowledge and our processes. It's much harder to teach someone to naturally take ownership, communicate confidently and care about getting things finished.
