ASRC Federal is seeking a Proposal Coordinator to join our growing Proposal Operations Center.
This is a remote position with travel requirements primarily within the Washington, DC metropolitan area, with occasional travel throughout the United States.
Key Responsibilities:
The Proposal Coordinator collaborates with Growth Operations leaders—including Proposal Managers, Capture Managers, Operations, and other functional teams—to support the development and production of proposals and business‑development artifacts (e.g., RFI responses, oral presentations). This role is responsible for the administrative and logistical aspects of proposal development across a wide range of durations and complexities, including small, mid-size, and large, complex RFPs.
The ideal candidate is a proactive professional with strong SharePoint administration skills, desktop publishing experience, and exceptional organizational abilities. They must be comfortable managing logistics, maintaining configuration control, and working collaboratively across diverse teams.
Primary Duties:
- Manage multiple concurrent proposal projects and maintain real‑time status updates.
- Maintain configuration control and perform SharePoint administrative tasks for proposal sites.
- Prepare proposal templates aligned with RFP requirements and the Compliance Matrix provided by the Proposal Manager.
- Provide desktop publishing support for all proposal milestones (e.g., color team reviews, final production and delivery).
- Create and maintain the proposal wall (virtual and hard copy when required)
- Manage proposal logistics including scheduling proposal rooms and making sure they are set up appropriately for the proposal team
- Maintain proposal library by preparing files and archiving to the library
- Prepare Production Plans and detailed notes outlining submission requirements, file formats, naming conventions, and size limitations.
- Work with Graphic Artist to track graphic submission/edits and proof changes as needed
- Work collaboratively with Proposal Managers, Capture Managers, Proposal Writers, and Graphic Artists.
- Serve as the proposal support lead on low‑complexity proposals, taking on additional leadership responsibilities.
Requirements:
- 5+ years of experience as a Proposal Coordinator for Federal Government proposals.
- 5+ years of SharePoint experience.
- 5+ years Desktop Publishing experience with Microsoft and Adobe products
- Ability to operate or learn production-grade copiers
- Demonstrated ability to interpret and understand Government solicitation documents.
- Strong personal accountability, ownership, and interpersonal skills.
- Clear and effective communication skills (both verbal and written).
- Ability to coordinate multiple simultaneous assignments
- Ability to work effectively in a team environment
- Willingness to work non-traditional work hours including nights, weekends, and holidays, as needed.
- Ability to travel and work onsite with bid teams during proposal development.
Desired Skills
- Familiarity with AI and proposal automation tools (e.g., VisibleThread, MS Copilot, PleaseReview, etc)
- Experience supporting orals proposal development including slide creation and formatting.
