The Prospect Management Analyst supports the advancement division's fundraising efforts through data analysis, portfolio monitoring, reporting, prospect assignment management, and process administration. Reporting to the Senior Prospect Management Strategist, this position plays a key role in providing actionable insights that strengthen portfolio health, improve pipeline management, and support data-informed fundraising strategies across the organization.

The Analyst is responsible for monitoring prospects, portfolios, and proposal activity; developing reports and dashboards; identifying trends and opportunities; supporting prospect assignment processes; and ensuring the integrity of prospect management data. This position collaborates with Prospect Management, Prospect Research, Advancement Services, and Development staff to enhance fundraising effectiveness through analytical support, operational excellence, and continuous process improvement.

Prospect Management Analytics and Reporting

· Develops, maintains, and distributes routine and ad hoc reports related to prospect portfolios, fundraising activities, proposal performance, donor engagement, and assignment management.

· Analyzes fundraising and prospect management data to identify trends, opportunities, and areas of concern.

· Creates dashboards, visualizations, and analytical tools to support leadership decision-making and strategic planning.

· Monitors and reports on key Prospect Management metrics, including portfolio health, assignment utilization, proposal movement, and fundraising activity.

· Provides data-driven recommendations to improve portfolio composition, fundraising effectiveness, and prospect movement through the donor engagement cycle.

· Supports the development and maintenance of performance benchmarks and reporting standards.

Prospect Assignment and Data Management

· Supports the administration and maintenance of prospect assignments across the development organization.

· Monitors assignments for compliance with Prospect Management policies, portfolio standards, and assignment expectations.

· Reviews prospect records, proposals, activities, and related data to ensure accuracy, consistency, and completeness.

· Conducts routine audits of prospect management data and recommends corrective actions when necessary.

· Maintains documentation related to business processes, portfolio standards, reporting methodologies, and assignment procedures.

· Assists with data quality initiatives and supports the ongoing integrity of constituent and fundraising information.

Process Improvement and Operational Support

· Assists in the development and refinement of Prospect Management reports, workflows, business processes, and analytical tools.

· Identifies opportunities to improve efficiency, reporting capabilities, data quality, and user adoption of Prospect Management practices.

· Collaborates with Advancement Services, Research, Development, and Information Technology teams on data and reporting initiatives.

· Supports special projects related to fundraising analytics, campaign planning, prospect identification, and strategic portfolio management.

· Provides analytical support for divisional initiatives and leadership requests.

Prospect Management Program Support

· Supports the implementation and administration of Prospect Management policies, procedures, and best practices.

· Assists with training materials, documentation, and communication efforts related to Prospect Management processes and reporting.

· Maintains knowledge of fundraising trends, prospect development methodologies, advancement analytics, and industry best practices.

· Upholds the highest standards of confidentiality, professionalism, and ethical conduct in accordance with University policies and applicable professional standards.

· Performs other duties as assigned.

Travel

This is a fully remote position with scheduled travel to the Tampa campus required. Required travel includes approximately five Division-wide events per year, with each trip typically lasting two to three days. During the first year of employment, the position also requires attendance at new hire orientation on the Tampa campus, which is a one-time, week-long requirement of approximately five days. Travel expenses are covered by the USF Foundation.

This position requires a Bachelor’s degree with 2 years of experience directly related to the duties and responsibilities specified. Work experience may be substituted for the degree requirement on a year for year basis. Experience working in higher education, nonprofit fundraising, Advancement Services, prospect development, prospect management, or prospect research is preferred.

(d) Seven years of direct experience for a professional degree; or
(e) Nine years of direct experience for a doctoral degree

• Minimum Qualifications that require a high school diploma are exempt from SB 1310.
