Apply Description JOB TITLE: Quality Coordinator LOCATION: Remote (WA or MA preferred) - candidates based in the following states will be considered: IN, MA, NC, NJ, NH, NM, NY, PA, SC, SD, TX, KY or WA. REPORTS TO: Senior Manager, Quality Control SALARY RANGE: $72,000 to $79,000 ABOUT THE POSITION The Quality Coordinator provides operational and administrative support to the Quality team by coordinating project activities, managing documentation workflows, tracking milestones, and facilitating sample logistics between vendors. This role is responsible for ensuring Statements of Work (SOWs), Purchase Orders (POs), sample shipments, and quality-related documentation are processed accurately and on schedule. The Quality Coordinator works cross-functionally with internal stakeholders and external partners to support the timely execution of quality activities and maintain accurate project records. KEY RESPONSIBILITIES Project Coordination & Tracking Manage and maintain Quality project trackers and milestone reports to ensure visibility of project status and deliverables. Generate status updates and reports for Quality leadership. Purchase Order & Vendor Management Request Statement of Works and track status through the approval process. Track Purchase Order approvals and coordinate with Finance, Procurement, and vendors to ensure timely processing. Monitor PO status and maintain accurate records of expenditures and contract-related documentation. Support vendor onboarding and documentation requirements as needed. Documentation & Approval Workflows Route quality-related documents through review and approval processes. Ensure documentation is completed, approved, and archived in accordance with applicable procedures and quality standards. Maintain organized electronic records and tracking systems. Sample Logistics Coordinate and submit sample shipment requests to internal and external testing facilities. Track sample shipments and confirm receipt by testing laboratories or stakeholders. Cross-Functional Support Collaborate with Quality Control, Quality Assurance, Supply Chain, Procurement, Finance, and external partners to support project execution. Perform additional coordination and administrative duties as assigned. Requirements QUALIFICATIONS AND EDUCATION To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the education, experience, knowledge, skill, and/or ability required. A degree in a scientific discipline (e.g., Biology, Chemistry, Microbiology, Biochemistry, Pharmaceutical Sciences, or related field) required. Experience working in a regulated environment such as pharmaceutical, biotechnology or medical device is preferred. Quality Assurance or Quality Control experience within life sciences not required, but highly preferred. Working experience with Smartsheets required. REQUIRED SKILLS AND ABILITIES Experience in project coordination, operations support, quality systems administration, or a related duties is highly preferred. Strong organizational skills with the ability to manage multiple priorities simultaneously. Experience tracking projects, schedules, milestones, and deliverables. Must be proficient with Smartsheets. Proficiency with Microsoft Office applications, particularly Excel, Word, Outlook, and PowerPoint. Excellent written and verbal communication skills. Detail-oriented with a strong focus on accuracy and follow-through. Ability to work effectively in a fast-paced, cross-functional environment. Salary Description $72,000 to $79,000
