Job Title: Quality Management Systems Coordinator Job Description The Quality Management Systems Coordinator supports the administration, maintenance, and continuous improvement of Quality Management System (QMS) programs, systems, and compliance activities. This role provides operational and systems support across certifications, regulatory registrations, digital platforms, and KPI tracking. This position ensures that documentation and resources are accurate, up-to-date, and easily accessible to relevant stakeholders. Responsibilities Manage system and database administration, including SharePoint sites and Intelex system modules. Oversee the QFS SharePoint site(s) including content and structure. Serve as the primary administrator for database management. Coordinate administration activities, including cross-functional integration projects and system optimization. Support maintenance, troubleshooting, data accuracy, and functionality of QMS systems and tools. Provide third-party certification coordination and program maintenance activities, including Kosher, Organic, Non-GMO Project, and Gluten Free certifications. Support documentation tracking, renewal timelines, and audit preparation activities. Act as the primary or backup liaison with certification agencies, auditors, inspectors, and accrediting bodies. Complete regulatory compliance activities including facility registrations, license and certification renewals. Coordinate on-site facility inspections as required. Serve as the KPI data coordinator for quality and food safety functions. Prepare and distribute monthly KPI communications, ensuring accuracy, clarity, and timeliness. Compile data from multiple sources to support reporting of QMS and food safety performance metrics. Consolidate and optimize data sources as part of continuous improvement and automation initiatives. Develop and maintain tools and processes to track trends, gaps, and follow-up actions. Facilitate the receipt, documentation, and communication of customer complaints. Collaborate with resources such as customers, sales, and consumer affairs in support of complaint management. Work with manufacturing locations to complete investigations and respond to customers in a timely manner. Upload and gather documents and route incidents for review/approval by cross-functional teams. Maintain organized filing systems for key documentation, both electronic and physical. Essential Skills Experience with quality management systems, quality systems administration, and document control. Strong attention to detail, organizational, and problem-solving skills. Proficiency with business applications and systems such as Microsoft Office, Adobe Acrobat, Intelex, Tableau, and Smartsheet. Experience developing dashboards, reports, and system templates. Ability to understand, explain, and present complex technical concepts clearly, both written and verbally. Effective communication and collaboration skills with all levels of the organization. Adaptability and the ability to quickly learn new systems and technologies. Additional Skills & Qualifications Bachelor's Degree in Food Science, Nutrition, Biology, Chemistry, or a related field. 1-2 years of experience in documentation management or a related technical experience. Work Environment This is a 6-month contract-to-hire opportunity. The work schedule is Monday through Friday, 8:00 AM to 5:00 PM, with flexibility to start between 7:00 AM and 9:00 AM. Local candidates will follow a hybrid schedule of 3 days onsite and 2 days remote, with remote work typically on Mondays and Fridays and onsite work Tuesday through Thursday at the Lakeville office. The position reports to the QMS Manager and partners closely with the Quality Management Systems (QMS) team, while supporting broader Quality & Food Safety initiatives across the organization. Job Type & Location This is a Contract to Hire position based out of Lakeville, MN. Pay and Benefits The pay range for this position is $25.00 - $36.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
