Job Description:

We are seeking an experienced Recruiting Coordinator to provide administrative and operational support to a busy Talent Acquisition team. This individual will play a key role in managing high-volume interview scheduling, coordinating onsite interview logistics, and ensuring candidates have a seamless and professional experience.

The ideal candidate is highly organized, proactive, and comfortable balancing competing priorities in a fast-paced environment. Strong Microsoft Outlook calendar management skills and previous recruiting coordination experience are essential.

Key Responsibilities:

  • Manage high-volume interview scheduling, coordinating approximately 20–30 interviews per week across multiple calendars and stakeholders.
  • Welcome candidates onsite, assist with check-in, and help facilitate a smooth interview process.
  • Coordinate interview logistics, including meeting arrangements, catering, and candidate itineraries.
  • Communicate with candidates regarding scheduling, interview details, and other hiring-related logistics.
  • Maintain accurate candidate profiles, requisitions, and recruiting documentation within the applicant tracking system.
  • Assist with reference checks, background screening coordination, travel arrangements, and expense reimbursements.
  • Provide administrative support to recruiters and hiring managers, including meeting planning and recruiting events.
  • Maintain organized records and support documentation, file retention, and compliance processes.
  • Help improve recruiting workflows and take on additional Talent Acquisition responsibilities as needed.

Qualifications:

  • Bachelor's degree with at least two years of relevant experience, or a high school diploma/equivalent with six or more years of relevant experience.
  • Previous experience in recruiting coordination, Talent Acquisition support, or a similar recruiting operations role.
  • Demonstrated success managing high-volume interview scheduling and complex calendars.
  • Advanced proficiency in Microsoft Outlook, particularly calendar management and scheduling coordination.
  • Strong written and verbal communication skills, with a professional and service-oriented approach to candidate interactions.
  • Excellent organizational skills, attention to detail, and the ability to manage multiple deadlines and shifting priorities.
  • Working knowledge of Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Experience with an applicant tracking system (ATS); Workday experience is a plus but not required.
  • Ability to work onsite in Alameda during the initial training period.

Additional Details:

  • Initial training will take place fully onsite, with the possibility of transitioning to a hybrid schedule after the ramp-up period.
  • The contract is expected to last 12 months, with potential for extension or conversion depending on business needs.
  • The interview process consists of two rounds: a 30-minute virtual interview with the hiring manager, followed by an approximately two-hour onsite panel interview.
  • This role does not have supervisory responsibilities.

Perks:

  • Competitive hourly compensation of $40–$50.
  • Opportunity to work with an established biotechnology organization.
  • Potential flexibility to transition to a hybrid work arrangement after training.
  • Opportunity to expand recruiting operations skills and take on additional Talent Acquisition responsibilities.
  • Potential for contract extension or permanent employment based on business needs.
