Location: Regional Facility CoordinatorKey PurposeThe Regional Facility Coordinator is responsible for coordinating activities and resources across multiple geographically dispersed sites in support of daily operations and projects that impact various, departments, systems, and workflows with moderate to high risk and complexity. The Regional Service Coordinator works with multiple stakeholders to ensure account operations are conducted in accordance with approved operating guidelines and within budget. The Regional Service Coordinator will administer and generate purchase orders, conduct reconciliation, reporting, and billing for payments, monitor on-site material reception, schedule preventative maintenance, respond to urgent maintenance calls, participate in the creation of emergency preparedness plans and oversee/coordinate FMS compliance.Success CriteriaDelivery on contract promises, increased effectiveness and/or efficiency of delivered services through deployment of ISS standards and concepts leveraging innovation and best practice opportunitiesSuccessful delivery of prioritized tasks and programsIn partnership with internal and external stakeholders understand upcoming priorities and linking project delivery to the needs of the businessDeployment of relevant programs following the global/local standards while having complete ownership of project roll out and completionDevelop own skill base in line with agreed appraisal, taking responsibility for increased performance, and ensuring continued self-improvementParticipate and embrace the development opportunitiesKey Areas of Collaboration and InfluenceCommunicate effectively with colleagues within the Segment and across the company so that information is disseminated effectively and participate in project groups and meetings as requiredAccount OrganizationRisk Management and ComplianceCustomer OrganizationLocal Excellence FunctionsExternal Partners and SuppliersAccount dedicated People & Culture, HSE, and FinancePromote the IFS model within the ISS communitySupport the team, and report to the Head of Contract ManagementCollaborate, create and disseminate best practices throughout the accountUse the account to promote and further develop ISSIdeal Candidate Experience5+ years’ experience in facility managementMicrosoft Office – Advanced Outlook, Excel, WordKnowledge of Facilities SoftwareExcellent customer service skillsAbility to work with a budgetAbility to read and understand standard business documentation (e.g. contract language)Solid written and oral communication skillsStrong organizational and team building skillsProven ability to work on several projects simultaneously and under tight schedulesMust be a team player and committed to working in a quality environmentTravel requirements: 15%Key AccountabilitiesGenerate purchase orders, conduct reconciliation, develop reports and ensure accurate billing for payments in support of multiple Facility Managers (FM) and sites throughout a geographical regionMonitor preventative maintenance schedules in conjunction with site teams and ensure urgent maintenance calls are dispatched per priority matrix guidelinesCoordinate daily requirements, and requests to operate and facilitate services for the company across multiple sitesCommunicates operating philosophy, objectives, and expectations in a continuing effort to build the site teamsMaintains open lines of communication with customer, alliance partners, and operations mangersComplies with all company policies and procedures and adheres to company standardsDevelops and maintains a detailed project schedule which includes administrative tasks of all sites involved in the projectEnsure coordination of the interfaces of all disciplines within Operations, to include KPI compliance measuresCode invoices for approval to correct cost centers and process for payment across multiple sitesWork with vendors on inquiries and payment issuesSupport the processing and application of weekly payroll tasksMinimal travel requiredPhysical Demands & Work EnvironmentSitting at a computer for up to 100% of the timeMust be able to lift a minimum of 10 poundsMust be able to work under pressure and time deadlines during peak periodsHSEQ Compliance: All employees must adhere to Health, Safety, Environment, and Quality (HSEQ) policies and procedures to ensure a safe and compliant work environment.
