This role helps maintain timely, accurate filings across multiple jurisdictions, monitors regulatory developments, coordinates with internal and external stakeholders, and preserves the documentation and controls needed to reduce compliance risk.

Responsibilities:

  • Prepare and file documents required to obtain and maintain third-party administrator and related state, business and entity licenses, including renewals and jurisdiction-specific forms.
  • Maintain a reliable calendar, diary, checklist, and supporting records for licensing, annual reports, Secretary of State filings, and other recurring obligations.
  • Research and interpret statutes, regulations, agency guidance, filing instructions, and form requirements; identify changes and route questions or impacts to the appropriate stakeholders.
  • Monitor regulatory notices and shared regulatory communications, and distribute relevant information to legal, compliance, claims, finance, operations, and business partners.
  • Prepare and review annual corporate registrations and coordinate financial statements, parental guarantees, checks, signatures, and other filing prerequisites.
  • Assist attorneys and business partners with licensing inquiries, and regulatory responses.
  • Maintain complete, organized, state-by-state records, including contacts, agency portals, credential ownership, submission evidence, correspondence, and filing status.
  • Coordinate with regulators, registered agents and service providers, finance, attorneys, and business leaders to resolve filing and compliance issues.
  • Act as a company notary when required and coordinate documents requiring signatures.
  • Maintain and improve process documentation, state matrices, contact lists, standard workflows, and knowledge-transfer materials.
  • Support special projects and evolving regulatory responsibilities outside of routine licensing.
  • Provide compliance expertise and support to business partners, ensuring adherence to regulatory requirements, internal controls, and best practices.
  • Participate in and lead compliance-related projects, enterprise initiatives, system enhancements, and geographic expansion efforts.
  • Develop and implement policies, procedures, and process improvements that strengthen compliance, productivity, and organizational efficiency.
  • Maintain expertise in applicable regulatory requirements, industry trends, and reporting obligations, including Medicare and Section 111 reporting.
  • Promote a culture of compliance, collaboration, customer service, ethics, and continuous improvement across the organization.
  • Ensure compliance with the Company's Code of Business Conduct and Ethics and all applicable policies, procedures, and regulations.
  • Bachelor’s degree in business administration, risk management, paralegal studies, or a related field, or equivalent relevant professional experience.
  • 5+ years of progressively responsible experience in corporate licensing, regulatory compliance, paralegal services, corporate governance, or legal operations, preferably within the insurance or third-party administration industry.
  • Demonstrated knowledge of claims administration requirements, applicable state and federal laws and regulations, statutory requirements, and risk management practices.
  • Experience managing multi-state licensing, registrations, renewals, and corporate filings, including familiarity with NIPR, Secretary of State portals, registered agent services, and other state or regulatory systems.
  • Experience coordinating financial documentation, certificates of insurance, payments, approvals, and authorized signatures required for licensing, regulatory, and corporate filings.
  • Experience developing, documenting, and improving recurring licensing and compliance processes, procedures, workflows, and knowledge repositories.
  • Strong ability to research, read, interpret, and apply statutes, regulations, agency guidance, filing instructions, forms, and legal or regulatory correspondence.
  • Notary commission preferred, or willingness and eligibility to obtain and maintain a commission.
  • Excellent written and verbal communication, proofreading, organizational, customer service, and stakeholder management skills, with strong attention to detail.
  • Demonstrated ability to work independently within a matrixed organization, collaborate effectively across functional teams, exercise sound judgment, prioritize competing regulatory deadlines, and drive unresolved matters through completion.
  • Strong technical aptitude, including proficiency with Microsoft products and web-based state and regulatory portals, with the ability to learn and adapt quickly to new systems and technology.
