About the organization

We're hiring on behalf of a fast-growing, mission-driven cancer nonprofit based in Los Angeles. The organization supports the whole cancer community: all types of cancer, all ages and stages. It runs joy-centered campaigns and live events, and it's on the verge of multiplying its impact. What's holding it back is bandwidth, and that's where you come in.


The role

This is a full-time, remote Chief of Staff / Executive Assistant role supporting the organization's founder. The founder moves very fast, and her calendar changes quickly with travel, family commitments, events and appointments. You'll protect her time and energy so it goes to the highest-value work.


This is more than inbox and calendar coverage. We want someone who thinks a step ahead, anticipates needs, and helps build the systems that keep a small, busy team in sync. You'll partner closely with the founder's part-time operations lead and the organization's back-office operations team.


What you'll do

  • Own the calendar with judgment. Schedule and reschedule meetings while managing capacity, not just open slots. Avoid stacking six meetings back to back, keep the morning after a return flight clear, and clear the schedule quickly when plans change.
  • Book and manage travel. Turn a loose brief ("I'm heading to Boston Tuesday for this") into flights, hotels and logistics, without needing step-by-step instructions.
  • Triage the inbox without dropping things. Sort every email into: no action needed, needs the founder's review, or a task. Flag what's important, route the rest to the right teammate, and never just clear the inbox so things get missed.
  • Send a regular inbox brief. Give the founder a daily or every-other-day summary of what came in, what's pending and what needs her.
  • Run the task system. Help make Asana the single home for work, turning requests and emails into assigned tasks with owners.
  • Move communication onto Slack. Help shift internal communication off text messages so there's a searchable paper trail, with routines that make sure the founder sees what she needs.
  • Be the connective tissue. Loop the operations lead in on what the founder is doing, keep a paper trail so the team knows what's in motion, and bridge approvals between the founder and the back-office team (for example, social media sign-offs).
  • Bring AI into the workflow. Help set up and maintain AI tools, such as an assistant that reads the inbox and produces a daily brief.
  • Build processes. Document how things work so the system is something the founder can trust.

Who you are

  • You have exceptional attention to detail. Nothing slips through the cracks on your watch.
  • You thrive with founder energy: fast pace, shifting priorities, and days that change at the last minute.
  • You anticipate needs instead of waiting for instructions, and you understand the "why" behind a request.
  • You're a systems thinker who likes building processes and keeping them running.
  • You write clearly and professionally in English and communicate proactively.
  • You're comfortable with Asana, Slack, email and calendar tools, and you're curious about AI tools.
  • You have experience booking travel and coordinating logistics.
  • You're discreet with sensitive information.
  • Prior experience as an executive assistant, chief of staff, or in operations is a plus. A college degree is a plus.
