We are looking for a proactive, highly organized, and people-focused Integrator to help translate the company owner's vision into actionable plans, improve team communication, and ensure consistent execution across the business.
This role is ideal for someone who excels at connecting strategy with execution, bringing structure to growing organizations, and creating a culture of accountability. You will work closely with the owner to clarify priorities, coordinate projects, improve operational processes, establish clear expectations, and ensure the team follows through on commitments.
Rather than managing the day-to-day responsibilities of property management, you will focus on the systems, people, and processes that allow the business to operate more efficiently and scale successfully.
The ideal candidate is an independent thinker who asks thoughtful questions, exercises sound judgment, and makes practical, cost-conscious decisions. They know how to turn ambiguity into clear next steps, communicate concisely, and take ownership of outcomes without requiring constant direction.
Key Responsibilities
Strategy & Execution
- Work closely with the owner to understand the company's vision, clarify business objectives, and translate them into actionable plans.
- Lead high-impact projects from planning through completion, establishing milestones, deadlines, responsibilities, and measurable outcomes.
- Coordinate competing priorities and ensure projects remain aligned with the company's growth objectives.
- Identify potential roadblocks early, recommend solutions, and proactively communicate risks or changes in priorities.
- Provide the owner with concise progress updates highlighting accomplishments, outstanding decisions, risks, and next steps.
Team Leadership & Accountability
- Establish consistent communication routines, including team check-ins, project updates, and follow-up meetings.
- Ensure team members understand their responsibilities, deadlines, priorities, and expected outcomes.
- Promote a culture of ownership, accountability, collaboration, and continuous improvement.
- Address communication breakdowns, missed commitments, and workflow issues before they become larger problems.
- Help the team stay focused on agreed priorities while minimizing unnecessary meetings, interruptions, and shifting direction.
- Encourage constructive feedback and collaboration while maintaining clear performance expectations.
Process Improvement & Operational Efficiency
- Evaluate existing workflows and identify opportunities to improve efficiency, consistency, and scalability.
- Develop, document, and maintain practical Standard Operating Procedures (SOPs) that employees can easily understand and follow.
- Investigate why processes are failing before implementing changes, distinguishing between gaps in documentation, training, communication, and accountability.
- Standardize workflows and clarify ownership to reduce errors, duplicated work, and missed responsibilities.
- Identify opportunities to improve the company's systems, tools, and internal communication practices.
Performance Management & KPIs
- Establish and monitor meaningful Key Performance Indicators (KPIs) that measure team performance, project progress, and operational efficiency.
- Review performance trends, identify root causes of missed targets, and implement corrective actions.
- Hold team members accountable for commitments while avoiding unnecessary micromanagement.
- Provide leadership with clear, concise reporting that focuses on results, exceptions, decisions needed, and recommended actions.
- Use performance data to support informed decisions and continuous improvement.
Decision-Making & Independent Problem-Solving
- Assess operational issues, evaluate available options, and recommend practical solutions supported by clear reasoning.
- Make independent decisions within established authority, escalating issues that involve significant financial exposure, legal or compliance concerns, owner approval, or material business risk.
- Evaluate vendor recommendations, maintenance options, and operational expenses with a cost-conscious mindset, balancing immediate costs against long-term value and risk.
- Set realistic expectations with tenants, vendors, and team members without making commitments before the facts are verified.
- Recognize when sufficient information is available to act and when additional research, clarification, or approval is necessary.
Technology & AI-Assisted Workflows
- Use AppFolio as the primary property management platform to support operational visibility, workflow consistency, and accurate information management.
- Leverage available technology and AI tools to improve productivity, organize information, summarize meetings, and develop action plans.
- Review and verify AI-generated content for accuracy, completeness, context, and relevance before sharing it or using it to make decisions.
- Apply independent judgment rather than relying on AI-generated recommendations without validation.
- Keep documentation and internal communications concise, actionable, and tailored to the intended audience.
Qualifications & Experience
- Proven experience in operations management and property management (MUST HAVE BOTH).
- Experience coordinating teams, managing multiple projects, and driving accountability across different functions.
- Strong process-improvement skills, including developing SOPs, clarifying responsibilities, and implementing consistent workflows.
- Experience establishing KPIs, tracking performance, and using results to guide operational decisions.
- Strong written and verbal communication skills, with the ability to explain complex issues clearly and concisely.
- Demonstrated ability to work independently, prioritize effectively, and make sound decisions with limited supervision.
- Strong organizational skills and the ability to manage competing priorities without losing sight of key objectives.
- Practical problem-solving skills and the ability to balance cost, quality, urgency, and long-term impact.
- Comfort using technology and AI tools to support work while maintaining personal accountability for accuracy and quality.
