🏢 Job Summary:
We are looking for a highly detail-oriented and organized Revenue Data Entry Specialist to support revenue tracking and utility consolidated billing processes. This role is responsible for accurately entering financial and revenue-related data into standardized Excel workbooks, collecting and organizing supporting reports, maintaining documentation, and performing structured data validation and discrepancy checks.
The ideal candidate has experience in high-volume data entry, preferably involving financial, billing, or revenue-related information, and is comfortable working with Microsoft Excel and Microsoft 365 applications. This role requires strict adherence to established standard operating procedures (SOPs), consistent file management practices, and reliable execution of recurring weekly and monthly reporting cycles.
The successful candidate will help ensure that revenue tracking records are complete, accurate, properly documented, and readily accessible for internal review, tie-outs, and compliance documentation.
🔑 Key Responsibilities:
1. Revenue Data Entry and Workbook Maintenance
- Enter revenue-related data into designated Excel workbooks using established templates, written instructions, and standard procedures.
- Ensure data is entered into the correct worksheets, tabs, and fields while maintaining accuracy, completeness, and consistency.
- Preserve existing workbook formulas, links, cell references, and other essential structures when entering or updating data.
- Apply required formatting, data standards, and file-naming conventions consistently.
- Perform structured data transformations as needed, including column remapping, format standardization, and duplicate removal, following established instructions.
2. Report Collection and File Management
- Collect utility consolidated billing documents and supporting reports on a recurring schedule, including, as applicable:
- Payment reports
- Credit reports
- Supporting source reports required for tie-outs and compliance documentation
- Store, organize, and maintain reports in centralized repositories such as SharePoint and OneDrive.
- Follow established folder structures, file-naming standards, version-control practices, and document retention requirements.
- Ensure source reports and reference files are complete, properly organized, and accessible to internal reviewers.
3. Data Validation and Discrepancy Checks
- Perform structured, non-analytical discrepancy checks by comparing original utility, payment, and credit reports against data uploaded to or recorded in internal systems and workbooks.
- Identify and document missing values, mismatched information, formatting inconsistencies, data translation errors, and other discrepancies.
- Execute established data validation procedures, including:
- Completeness checks: Confirming that all required fields and supporting documents are present and populated.
- Formatting checks: Verifying dates, identification numbers, currency values, and other required formats.
- Cross-file checks: Comparing data across files and confirming that recorded totals match expected report values, in accordance with written instructions.
- Document discrepancies with clear supporting evidence, such as screenshots, row references, report page numbers, and timestamps, to facilitate investigation and resolution by the appropriate internal teams.
- Escalate exceptions that require further review rather than independently performing financial analysis or making unsupported adjustments.
4. Revenue Tie-Out and Documentation Support
- Support revenue tie-out readiness by ensuring that all required source reports are complete, properly saved, and stored in the correct locations.
- Verify that data from source reports has been entered into the appropriate revenue tracking workbooks.
- Ensure required reference files are linked or readily accessible to internal reviewers.
- Maintain accurate, audit-friendly documentation of reports received, data entered, records updated, validation activities, and outstanding exceptions.
- Keep trackers updated with report receipt dates, processing status, identified issues, and completion dates.
5. Reporting Coordination and Communication
- Provide timely status updates on report collection, data entry, validation, and processing progress.
- Promptly communicate and escalate blockers, including late or missing reports, portal download issues, corrupted files, incomplete datasets, formatting problems, mismatched totals, and unclear templates or instructions.
- Follow up on outstanding reports and unresolved exceptions to support the timely completion of recurring reporting cycles.
- Coordinate with relevant internal stakeholders to clarify documentation requirements and resolve data entry or processing issues.
6. Data Confidentiality and Compliance
- Handle sensitive revenue, financial, and customer-related information professionally and confidentially.
- Follow established data-handling procedures, documentation standards, and internal policies.
- Maintain consistent adherence to written SOPs, validation checklists, and reporting deadlines.
💡 Skills, Knowledge, and Expertise
- Proven experience in high-volume data entry, preferably involving financial, billing, revenue-related, or other structured datasets.
- Strong proficiency in Microsoft Excel, including:
- Sorting, filtering, creating and working with tables, and applying basic formulas such as SUM, IF, XLOOKUP, and VLOOKUP.
- Using Text to Columns and applying appropriate data formatting.
- Performing structured copy-and-paste operations and data transformations, including column remapping, standardizing formats, and removing duplicates.
- Working with standardized workbook templates while preserving existing formulas, links, and cell references.
- Comfortable using Microsoft 365 applications, particularly Excel, Outlook, Teams, SharePoint, and OneDrive.
- Familiarity with organized file storage, naming conventions, and disciplined document and version management.
