Job Description:
The Sales Assistant provides proactive administrative, operational, reporting and project support to the Vice President, Strategic Distribution and the Assistant Vice President of IFN Operations. This fast-paced role helps advance distribution priorities by supporting team coordination, field engagement, sales and operations initiatives, reporting processes, database management and technology-enabled workflow improvements. The role requires strong organization, attention to detail, sound judgment and the ability to manage multiple priorities while helping teams operate efficiently and effectively.

Responsibilities
- Provide proactive administrative, operational, reporting and project support to the Vice President, Strategic Distribution, the Assistant Vice President of IFN Operations and their respective teams.
- Support marketing activities, meetings and events that advance distribution priorities and strengthen engagement with internal and field partners.
- Manage and maintain multiple databases to support distribution operations, reporting, business tracking and team initiatives.
- Identify and support new reporting opportunities while maintaining existing reporting processes, leveraging AI and emerging technologies to improve efficiency, accuracy and scalability.
- Contribute to distribution-focused projects that support sales enablement, operational effectiveness, process improvement and cross-functional business priorities.
- Assist with planning, organizing and executing IFN Channel and regional initiatives related to financial professional onboarding, sales support and service delivery.
- Prepare polished PowerPoint presentations and related materials that support leadership updates, meetings, field engagement and distribution initiatives.
- Coordinate travel arrangements and prepare, submit and track related expenses in support of leadership and distribution business needs.
- Manage and coordinate schedules for the distribution team and field offices, including national and local meetings, study group opportunities and related field engagement activities.
- Coordinate staff and department meetings, including agendas, minutes, presentation materials and speaker support to ensure effective preparation and follow-through.
- Process vendor payments and coordinate with key vendor partners to support department needs and ensure timely follow-through.
- Plan, organize and support department events, meetings and engagement activities.
- Support onboarding for new employees and role or team changes for existing team members.
- Participate in departmental projects and provide flexible support for evolving business needs across sales, operations and distribution.

- Proficiency in Microsoft Office, including Word, Excel, PowerPoint and Outlook, with advanced PowerPoint skills required and the ability to learn and apply new technologies.
- Strong understanding of AI tools and capabilities, with a willingness to learn how to build and apply AI agents to support reporting, workflow improvement and distribution operations.
- General understanding of life insurance products and the distribution of life insurance and annuity solutions, with a willingness to deepen product and industry knowledge.
- Ability to obtain appropriate licenses or professional designations as needed to support future business needs.
- Proficiency in managing multiple CRM or business databases, with the ability to maintain data quality, improve workflows and support reporting needs.
Education
- High school diploma or equivalent required.
- Bachelor’s degree preferred.
Experience
- Financial services industry experience preferred.
- Five to seven years of relevant administrative, operational, sales support or financial services experience preferred.
Base Salary Range - $70,000 - $80,000
