Job Title: Sales CoordinatorJob Description

The Sales Coordinator supports the full order lifecycle from entry through shipment and billing, acting as the central point of contact between the sales team, customers, inventory, product coordination, credit, and logistics. This role focuses on delivering excellent customer service, accurately processing and tracking orders in the CRM and related systems, and ensuring that every order moves smoothly through the process. The position offers the opportunity to build strong relationships with assigned accounts and third-party vendors in a fast-paced, collaborative, and career-oriented environment.

Responsibilities
  • Facilitate all aspects of the order process from order entry through shipping and billing, ensuring accuracy and timeliness at each stage.
  • Serve as the main point of contact between sales, inventory coordination, and product coordination for all issues related to open orders, inventory inquiries, shipping, and billing.
  • Work directly with sales team members and customers to resolve issues, coordinate deliveries, and process all necessary paperwork.
  • Enter orders into the OHM system using a mobile app for most orders and perform manual entry when needed.
  • Create and maintain accurate documentation, including bills of lading, certificates of analysis, and purchase orders.
  • Collaborate with Product Coordination to source appropriate materials for each order and ensure product availability.
  • Partner with the Credit Department to verify that customers have appropriate credit for their orders before releasing them.
  • Set up shipment orders through OTM and work closely with Transportation Coordinators to resolve any transportation issues.
  • Ensure orders are processed and advanced within defined timeframes, maintaining momentum from order entry to shipment.
  • Track shipments throughout the entire transportation process, proactively addressing any delays or issues.
  • Gather and confirm freight rates when necessary to support accurate pricing and logistics planning.
  • Oversee the order from start to finish, including updating the order in the system, releasing the order after credit checks, confirming inventory levels, and coordinating with the transportation team to ensure appropriate shipping methods.
  • Field primarily email communications and light phone calls from assigned accounts, providing responsive and professional customer support.
  • Build and maintain strong relationships with assigned accounts and third-party vendors to support long-term business partnerships.
  • Collaborate closely with a team of customer service and sales support professionals, contributing to a positive and high-performing team environment.
Essential Skills
  • 35 years of customer service experience, preferably in a role that involves order management or sales support.
  • 35 years of data entry experience with a strong focus on accuracy and speed.
  • 35 years of experience using Microsoft Excel for tracking, reporting, and data management.
  • 35 years of experience working with CRM systems to manage customer information and orders.
  • Demonstrated experience with order entry and order processing in a business environment.
  • Experience in logistics coordination, including working with shipping, transportation, and freight processes.
  • Proficiency in customer service best practices, including handling inquiries via email and phone in a professional manner.
  • Ability to work effectively in high-pressure situations while maintaining accuracy and composure.
  • Strong multitasking skills with the ability to manage multiple orders, issues, and priorities simultaneously.
  • Ability to work collaboratively in a team-oriented environment and contribute to shared goals.
Additional Skills & Qualifications
  • Experience with inventory coordination and product coordination in a fast-paced environment.
  • Background in sales coordination or sales support roles, particularly in order-driven or distribution-focused industries.
  • Familiarity with purchase order processing and related documentation requirements.
  • Experience working with systems such as OHM for order management and OTM for transportation management or similar platforms.
  • Comfort working with freight rates and basic logistics cost considerations.
  • Strong relationship-building skills with both internal stakeholders and external customers or vendors.
  • Preference for candidates with hands-on experience over formal education, although all relevant backgrounds are encouraged to apply.
  • Motivation to learn a specialized industry and develop a long-term career rather than viewing the role as a short-term position.
  • Strong organizational skills and attention to detail in handling documentation and order records.
  • Willingness to take advantage of growth opportunities into supervisory, lead, sales, or logistics-focused roles.
Work Environment

The role is based in a beautiful office setting in Wilton, CT, within a team of approximately ten customer service professionals. You will work closely with a direct desk partner and collaborate daily with sales, logistics, credit, and product coordination teams. The culture is upbeat, supportive, and highly team-oriented, with a strong emphasis on maintaining a positive environment even during high-stress, fast-paced situations. The organization offers hands-on, one-on-one training and encourages continuous learning so that team members can build a long-term career in the industry. Tenure is high, with very low turnover, and there are clear opportunities for growth into supervisory, lead, sales, or logistics roles. The work involves primarily email-based communication with light phone calls, rather than a call-center environment, and may include opportunities for overtime depending on business needs. Pay and Benefits

The pay range for this position is $57500.00 - $57500.00/yr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
